Council Clerk

Under the general supervision of the City Clerk and Deputy City Clerk, the Council Clerk is responsible for the creation of all decision-making documents related to meeting of City Council and the Governance Committee of Council. The Council Clerk attends meetings of, and provides assistance to, the Ad Hoc Committees of Council as assigned; provides research, policy and procedural advice; compiles and disseminates formal agendas, minutes and other committee communications, including the disposition of items. The Council Clerk is also responsible for the payroll and benefits for the City Clerk's Department, Councilors’ Branch and Museum Branch and acts as an Election Officer in regularly scheduled Civic Elections and By-Elections.
**As the **_Council Clerk, _**you will**:
- Prepares decision-making documents and correspondence for Council and the Governance Committee of Council
- Manages the Payroll and Benefits Programs for the City Clerk’s Department, Councilors’ Branch and Museum Branch
- Manages and clerks Ad Hoc Committees of Council
- Assists the City Clerk and Deputy City Clerk
- Manages the Municipal By-law process
- Acts as an Election Officer
**Your education and qualifications include**:
- Diploma in Business Administration, Public Administration or related field; or equivalent combination of training and experience.
- Two (2) years of administrative and customer service experience.
- Knowledge of the civic structure, Council and its Committees.
- Knowledge of relevant legislation, by-laws, Council policies and of the municipal decision-making process.
- Knowledge of the City's HR systems, policies and procedures
- Ability to communicate effectively, both orally and in writing.
- Ability to take notes rapidly and to prepare concise and accurate minutes and related correspondence.
- Analytical ability and problem solving skills.
- Ability to work effectively with elected representatives, the administration, general public, and media.
- Ability to implement departmental strategies and procedures.
- Ability to work under pressure, set priorities, meet deadlines and organize work.
- Ability to work with mínimal supervision and prioritize work load.
- Ability to exercise personal initiative and sound managerial judgment.
- Ability to work discreetly with confidential matters.
- Ability to communicate in French or other languages would be an asset.
- Experience dealing with elected officials would be an asset.
**Conditions of employment**:
- Ability to work extended and flexible hours (evenings are required).
