**Job Title: Facilities Coordinator**

**Reports to**:Facilities Manager / Staff Veterinarian

The College of Veterinarians of British Columbia (CVBC) is responsible under the _Veterinarians Act_ for the regulation of veterinary medicine in the Province of British Columbia. The mandate of the CVBC is to ensure that the public and animals are served by a competent and ethical profession.

We are looking for a new team member to join our Practice Facilities Department. If you have great organizational and interpersonal skills, lots of enthusiasm, and enjoy working in a smaller office environment, then we would love to meet you

**Purpose**: Supporting the successful delivery of the CVBC Practice Facility Accreditation program, and supporting the Practice Facility Accreditation Committee including ensuring compliance of BC veterinary practice facilities with Part 3 and Schedule D of the CVBC’s Bylaws.

**Duties and Responsibilities**:

- Coordinating practice facility inspections with CVBC external inspectors and practice facilities under the direction of the Facilities Manager
- Supporting the preparation of memoranda and agenda materials for the Practice Facility Accreditation Committee’s meetings, including undertaking document management and data management
- Receiving and coordinating materials for new facility accreditation and existing facility reaccreditation inspections
- Maintaining the College's facility database and electronic facility files.
- Supporting CVBC staff with technical information and analysis relating to practice facilities
- Coordinating meetings and video calls
- Supporting the development of tools, documents and training to enhance the practice facility inspection process and support the inspection team
- Developing practice facility reports and statistics on a quarterly basis
- Monitor deadlines and deliverables associated with the practice facility accreditation process
- Other services as required within the scope of expertise of the individual and upon agreement with the CVBC

**Key Competencies (Knowledge, Skills & Abilities) of an Effective Facilities Coordinator**:

- Experience working in a regulatory environment.
- Familiarity and experience with operation of veterinary practice facilities, facility inspection processes or related experience an added asset
- Exceptional communication skills
- Attention to detail and critical thinking skills; excellent documentation and reporting experience
- Computer skills (Microsoft 365 suite including Outlook, Teams, Sharepoint, OneDrive, Dynamics; Adobe Acrobat; Zoom; etc)
- Excellent time management
- Experience with handling confidential information

**Communication and Reporting Duties**:

- Coordinating communications with various parties in an organized and efficient manner
- Attending and documenting discussions at Practice Facility Accreditation Committee meetings
- Liaising with other team members and contract inspectors
- Participate in CVBC inspector team meetings
- Review and provide feedback on document submissions related to facility inspections

**Professional Development**:

- Participate in any CVBC training or workshops relevant to the work
- Participate in training to support IT needs
- Participate in cross-training opportunities to support other CVBC activities

**Confidentiality**:
The Facilities Coordinator is involved in accessing, reviewing and working with confidential registrant and facility information.

**Working with Others**:

- Internal - CVBC staff including direct supervisor, members of management, Council and Committee members, and other office staff/colleagues.
- External - veterinarians, clinic staff, and the general public

**Work Conditions and Environment**:
**Mental**: Attention to detail, manage competing priorities and complex files

**Physical**: Sitting for extended periods of time, focus on computer screen and typing/mousing

Ø This position may involve engaging in difficult conversations with individuals who are stressed and under pressure

Ø Environment can be fast-paced and involves tight deadlines

**Commitment**:Full-Time (Monday - Friday, 8:30 am - 4:30 pm)

**Salary**: $48,000 - 50,000; commensurate with experience, with a competitive benefits package for salaried position

**Location**: north Richmond (Bridgeport & Shell Road) - our offices are located in a quiet office park with green space. The office park is easily accessed by all modes of transportation and is serviced by a shuttle bus from the nearby Canada Line station. We are a great alternative to the congestion and bustle of nearby downtown Vancouver and Richmond.

**Salary**: $48,000.00-$50,000.00 per year
