**Position Description**:
In this role, you will provide administrative support to the Telepsychiatry Department including Senior Clinical Manager, Provincial Coordinator, Psychiatrists and Psychologist for the Tele-Mental Health Service. As an integral member of the team, you will provide administrative support including coordinating and maintaining calendars, organizing and planning meetings/events, as well as word processing, correspondence and answering inquiries. You will also act as an administrative resource for the Department. You will be first point of contact in the agency referral process into the electronic medical records. You will also be responsible for French correspondence to meet our French Language Service requirements for the Tele-Mental Health Program.
**Here's What You'll Get **To** Do**:
- Manage all community-based referrals and enter into Epic, ensuring accuracy
- Manage calendars, book meetings and appointments and prioritize requests
- Handle all incoming inquiries and respond appropriately
- Distribute, and manage incoming mail and follow-up as needed
- Maintain the accurate electronic filing system
- Assist in the preparation of meetings
- Prepare meeting agendas and attend and take minutes when required
- Arrange travel, seminars, conferences, with some financial responsibility
- Prepare original documents, including letters, reports, spreadsheets,
- Work individually and in collaboration with team members on projects, including provincial ministry submissions, accreditation, and other contracts
- Perform cross training with other administrative staff to allow for additional coverage during vacations etc.
- Maintain confidentiality for all patient and staff personal and health information
- Other duties as required
**Here's What You'll Need**:
**Essential Requirements**
- Post-secondary degree/diploma in business or office administration or equivalent experience
- Minimum 1 year of administrative experience preferably in the health care industry
- Bilingual, English and French written and spoken
- Exceptional interpersonal, oral and written communication skills
- Proven ability to prioritize work in an efficient and organized manner
- Highly developed evaluative and problem-solving skills
- Demonstrated high level of judgment, tact and diplomacy in interacting with a wide variety of internal and external stakeholders
- Ability to work well independently, as well as, within a team environment
- Ability to work in a fast-paced environment with many interruptions and multiple priorities
- Word Processing Speed minimum 45 words/minute
- Required two days per week on-site, minimum
- Demonstrated commitment and actions in advancing equity, diversity and inclusion objectives
**Asset**
- Experience with EPIC or other electronic medical record systems
