Kelowna & District SHARE Society is an inclusive workplace that has been in operation in the community since 1980. It receives donations from a generous community to give away to those in need and to sell in our thrift store. Proceeds from the thrift store go towards the delivery of our various in-house programs, all of which are focused on addressing the needs of those in our community who are experiencing economic distress.
This position reports to the Executive Assistant. Being that this is one of two positions that covers 6 days a week, the two individuals filling the positions have some flexibility in determining their schedule.
The Administrative Assistant is a central figure in the organization, maintaining the efficient flow of operations. They represent point of contact for clients, customers and staff. Ideally, they will be able to adapt quickly to changing situations and continue smiling
**Administrative Duties**
- Route messages to appropriate department
- Greet visitors and direct them to the person who can help
- Prepare, type, edit and proofread letters, invoices, presentations, brochures, publications and reports
- Keep accurate records
- Coordinate meetings and prepare minutes
- Order and maintain office supplies
- Set up and maintain paper and electronic filing systems
- Set up office procedures and improvements
- Update administrative policies and procedures manuals
- Respond to customer queries through social networks
- Support in daily store operations as needed
- Provide cash relief daily as required
**Dispatch Responsibilities**
- Follow up with all inquiries from the public
- Coordinate all pick ups and deliveries
- Work with the retail team to determine which donations are acceptable and which are not
- Directing and organizing the delivery truck crew
**Marketing Duties**
- Gather, research and prepare communications material for internal and external audiences.
- Work with the team of staff and volunteers to develop content that will increase community engagement
**Required Skills**:
- Attention to detail

- Strong problem solving and organization skills
- Self-starter who takes initiative
- Proficient with Microsoft Office, Google Sheets, Google Docs
- Computer Fluency
- Excellent oral and written communication skills
- Some Post-Secondary education in a related field or experience in a similar environment;
- Flexible and able to adapt quickly to a continuously changing environment
**Nice to have Skills**
- Proficient using Canva
- Experience working with Wix / Website design
- Customer service and cash experience
- Marketing experience; experience creating Facebook, instagram, twitter posts
**Job Types**: Part-time, Permanent
Part-time hours: 18-24 per week
Pay: $22.00-$24.00 per hour
