Front Desk Coordinator - Medical Aesthetics

Position Overview:
We are seeking a friendly, organized, and professional Front Desk Coordinator to join our team at Enhance Aesthetics And Laser. As the first point of contact for our clients, you will play a crucial role in providing an exceptional patient experience. Your responsibilities will include managing the reception area, scheduling appointments, handling inquiries, assisting with non-surgical aesthetic procedures and ensuring smooth day-to-day operations.
Key Responsibilities:
- Greet and welcome patients and visitors with warmth and professionalism.
- Schedule and confirm patient appointments using clinic scheduling software.
- Maintain an organized reception area and ensure patient comfort while waiting.
- Assist with patient check-in and check-out processes, including collecting and verifying patient information and payments.
- Process payments and ensure proper documentation for services rendered.
- Coordinate with medical staff to ensure timely patient flow and handle any scheduling conflicts.
- Assist with inventory management, ordering supplies, and ensuring that treatment rooms are stocked.
- Maintain confidentiality and adhere to PHIA guidelines in all patient interactions.
- Assist with non-surgical aesthetic procedures as needed.
- Provide support with marketing efforts, including patient follow-ups and promotions.
Qualifications:
- High school diploma or equivalent; additional certification in office management or customer service is a plus.
- Previous experience in a front desk, receptionist, or customer service role, preferably in a medical or spa environment.
- Strong interpersonal skills with a customer-first mindset.
- Excellent verbal and written communication skills.
- Proficiency in using office software (e.g., Microsoft Office Suite) and scheduling systems.
- Ability to multitask, prioritize, and manage time efficiently in a fast-paced environment.
- Knowledge of medical aesthetics procedures and terminology is a plus but not required.

Work Hours:
- Part-time with potential for Full-time position with occasional evening or weekend shifts depending on clinic hours.
