Pilgrims Hospice Society (PHS) is a registered charity that provides supportive and compassionate family centered care to enhance the quality and dignity of life for those diagnosed with a progressive, life-limiting illness as well as support to those who are grieving the death of a loved one, from any cause.

Reporting to the Director, Hospice Community Programs, the Volunteer Services Coordinator is responsible for the day-to-day administration and functioning of the PHS Volunteer program. The Volunteer Coordinator will use their strong organization and communication skills to help support hospice volunteers and ensure their ongoing success within the organization. The Coordinator will have strong administrative and computer skills to help with ongoing development and implementation of processes. This role acts as a first line of communication for current volunteers, as well as those interested in becoming volunteers.

**KEY RESPONSIBILITIES**
- Work with the Volunteer Development Lead to help develop, implement, and deliver against an annual volunteer management plan, to include: volunteer needs assessment, recruitment, selection, pre-screening, training, performance reviews and appreciation of volunteers for Pilgrims Hospice Society.
- Coordinate and host standardized hospice volunteer training a minimum of three times annually in coordination with all program managers.
- Coordinate and conduct volunteer interviews who wish to participate in programs offered by PHS following the guidelines as defined by PHS and additional screening processes specific for to PHS programs.
- Ensure all volunteer documentation is complete, including reference checks, criminal record and vulnerable sector checks, confidentiality agreement and all other required forms completion as per volunteer services policies and procedures.
- Match volunteer with a program of their interest offered by PHS following the guidelines as defined by PHS and additional screening processes specific for the program.
- In conjunction with Program Managers, ensure ongoing engagement of volunteers through regular communication, education, and other means.
- Develop, implement, and oversee the scheduling of volunteers from day to day including sick calls and replacements.
- Organize and implement Volunteer Appreciation/Recognition activities throughout the year, highlighting the role of volunteers and their impact on program delivery at PHS.
- Act as SME for Hospice InfoAnywhere as it relates to management of the Volunteer Program. Ensure volunteers are registered, trained and utilizing InfoAnywhere as directed.
- Conduct exit interviews with volunteers upon leaving the programs.
- Represent the organization with other volunteer stakeholders/organizations including AHPCA, the VC Hub and others as determined.
- Establish collaborative, respectful and effective working relationships with all team members.
- Conduct yearly satisfaction surveys with all active volunteers. Compile and review reporting and develop action plan as required to address area of concerns and to maintain areas of strength.

**MINIMUM QUALIFICATIONS & SKILLS**
- Post-Secondary degree or diploma with a focus in social services, volunteer management or equivalent.
- 3 years’ experience as a Volunteer Coordinator considered a strong asset.
- Excellent presentation skills.
- Excellent written and verbal communication skills.
- Ability to set priorities and manage deadlines.
- Excellent organizational skills.
- Comfortable working independently and as part of a team.
- Ability to organize and prioritize work.
- Proficient in Microsoft Office.
- Excellent interpersonal skills.
- A “can do” attitude.
- Experience working in the not-for-profit sector considered an asset.
- Ability to work outside of regular office hours from time to time.
