Job Description Summary

The Faculty Relations Coordinator will be responsible for the day to day operations and projects relating to the confidential legal and bargaining commitments of UBC for Faculty Relations.

This position supports cross-functional work within Human Resources, and creates and maintains good relationships between external stakeholders such as law offices and bargaining units, as well as internal support units such as UBC Finance, Accounts Payable, Payroll, and the University Counsel’s Office.

The Faculty Relations Coordinator provides information and general advice to departments regarding, University policies and guidelines governing conditions of employment, including federal and provincial legislation.

Provides information and general advice to departments on matters relating to faculty appointments. Responds to enquiries from academic departments, faculty members, and the general public.

Organizational Status

This position reports to the Executive Director, Faculty Relations and the Manager, Faculty Relations.

Work Performed

Managing all administrative functions within Faculty Relations. Includes problem-solving, project planning and management, and development and execution of identified goals, priorities and objectives.

Project responsibilities include developing project ideas, recommending project priorities, leading stakeholder discussions and implementing project plans.

Develops, launch and implementation of new projects and initiatives in support of the Executive Director and Manager.

Conducting a needs assessment and determining requirements for all stakeholders in order to establish, or improve, systems, both procedural and electronic.

Develops and implements systems for all processes and data within Faculty Relations.

Analyzes requests coming in to the Executive Director, assessing and determine appropriate action.

Reviews faculty appointments to ensure compliance with UBC policies and procedures, Collective Agreement and other agreements with the Faculty Association, Service Canada, Human Resources & Skills Development Canada, Immigration, Refugees and Citizenship Canada and Canada Revenue Agency regulations.

Provides guidance and advice to UBC community regarding faculty appointment policies and procedures.

Manages all records related to Faculty Relations’ legal activities and commitments; gathers appropriate information, performs analysis and creates reports for executive meetings; planning in advance the preparation of legal documents and materials for leadership meetings; determines revisions required based on system implemented.

Provides financial and costing analysis for Faculty Relations, including creating reports for bargaining and other projects or processes.

Ensures all financial transactions for Faculty Relations are aligned with financial policies or guidelines as well as meeting terms of agreements with external parties. Researches tax implications related to, and administers, complex transactions for settlements and paying over-seas vendors.

Managing and resolving issues to resolution and collaborates with university community to ensure policies and practices are adhered to.

Effectively leverage Workday as the employee file of record for UBC, and the use of iSight in order to produce regular and ad hoc reports. Performs analysis of complex data, making recommendations on reports for a variety of purposes.

Exercises initiative and appropriate judgement and discretion when considering requests for reports for other units or third parties.

Reviews and determines appropriate documents for submission to the Access and Privacy Office in response to Freedom of Information requests including those required across units in Central HR.

Manages all administrative processes related to collective bargaining and creating documentation for the collective bargaining process. Works closely with the Managing Directors to ensure compliance with government processes and obligations to the Board of Governors.
