A Client Care Specialist is typically the first person who clients speak to, setting the tone for their experience at New Roots Therapy. Responsible for conducting initial intakes and phone screenings, assisting with service inquiries and billing processes, and providing practice management support to our clinical associates, this position is essential to the daily operations of our clinic. Overall, a client care specialist works with our administrative team to support them in the clinics mission to:
1. Provide our practitioners with the administrative support they need in order for their practice to run smoothly, allowing them to focus more attention on their clients

2. To connect individuals, couples, and families with practitioners who can help them heal from the mental, emotional, and physical struggles that are keeping them from experiencing deeply connected, fulfilling lives and;
3. To provide clinical interns with hands on experience for completing requirements necessary for registration with their governing body.

**Responsibilities**:

- Conduct brief and detailed intake interviews for prospective clients and assigning them to appropriate practitioners
- Assisting with administrative and/or marketing projects as needed
- Assisting with inventory management (in office)
- Monitoring and enhancing the waiting room environment, with an emphasis on client safety and privacy, while also implementing proper crisis management strategies when necessary.
- Maintaining a clean and functional work environment in shared spaces
- 2 years minimum experience in an administrative role
- Proficient in navigating technology such as Google Workspace, excel, & word (working knowledge of Jane software an asset).
- Familiar with practice management & billing systems
- Face-to-face client or customer care experience
- Comfortable working with clients from diverse backgrounds in a manner that is respectful and responsive to their unique needs (Must have)
- Experience working in a busy team environment
- Experience or interest in the mental health or related field
- Administrative experience
- The ability to demonstrate that they are organized and able to follow effective systems/processes

**About New Roots Therapy**

New Roots Therapy is a values driven group private practice located in downtown Whitby since 2010. We provide office space, practice management, supervision and client care services to a growing team of over twenty independent practitioners and clinical interns who deliver in-person and virtual psychotherapy and naturopathic services to clients within the Durham Region and beyond.

- The client care specialist works directly with the Client Care Team who provides administrative support to all team members, including the owners, associate practitioners, and practicum students.
- Direct report: Jenny Everson (Client Care Manager)
- What are the hours and wage for this position?_
- This position starts at 35 hours per week (Monday-Friday from 2-9 pm)
- No weekends
- The starting wage for this position is $18.50 per hour.
- This is an in-office position
