Job Overview:
The Office Administrator manages the day-to-day operations of the assigned RE/MAX Hallmark Office and is a pivotal position in the office providing support to the hiring processes with the Broker Manager. This position carries out responsibilities in some or all of the following functional areas: office development, staff leadership, new agent sign ups and office maintenance. The administrator assists the manager in processing, orientation and follow-up with all sales representatives as well as providing assistance in any other area to ensure the smooth day to day operation of the office and assist agents on a daily basis in areas of their business. The administrator is also responsible for supervising reception staff in their office and for performing reception duties on a daily basis. Salary based on experience. Real Estate experience an asset.

**Responsibilities**:

- Take ownership of the day to day operation of the office and be proactive in maintaining and improving it
- Demonstrate the highest level of customer service for our agents and their clients
- Inform other offices of the new agent and inform the agent about the orientation process
- Provide new agents with necessary fobs and/or keys; login credentials; and photo for front lobby
- Trouble shoot computer problems, copy/print problems, telephone problems; call for service if necessary and follow up with tech support
- Attend weekly office meetings, prepare meeting minutes to be distributed
- Inform agents of their membership renewal dates prior to expiration
- Communicate any WolfConnect issues to staff
- Communicate IT issues with REMAX Canada, WolfConnect, Nexone and/or ShowingTime
- Arrange for maintenance of office when needed ie: lavatories, heating and air conditioning, lighting and escalate major repairs immediately
- Process supply and coffee orders on an ongoing basis
- Ensure all important events you are aware of are escalated to management ie: engagements, weddings, deaths etc.
- Complete other duties as assigned by the Branch Manager
- Complete listings and transactions as assigned
- Validate documents as assigned
- Processing transactions into BrokerWolf program
- Effectively communicate with agents about their listings & transactions
- Reception duties including answering phones and booking appointments
- Supervision of part time reception staff
