Office Administrator/receptionist

**Summary**:
**Duties**:
Duties may include but will not be limited to the following:
**Office Administration**:
- Answer all incoming telephone calls and provide information to callers, take messages or transfer calls to appropriate individuals.
- Greet visitors and handle their inquiries or direct them to the appropriate person according to their needs.
- Manage incoming and outgoing mail, eFax and courier items.
- Monitor the use of office supplies and maintain adequate levels of inventory.
- Assist in the planning and preparation of meetings, conferences, and conference calls.
- Assist with ordering lunches for internal stakeholders.
- Assist with the coordination of company events and employee functions.
- Administrative duties to include but not limited to, photocopying, faxing, and filing.
- Other duties as directed by Director, Human Resources.
**Human Resources/Payroll/Finance/HSE/Operations**:
- Verify employee timesheets for accuracy and send time reports to payroll on a weekly and bi-weekly basis.
- Complete employee profile configuration, onboarding and offboarding through our HRIS (UKG) platform.
- Must be an example of good judgment, strict confidentiality, and adherence to legislation, company policies and procedures.
- Maintain and update the organizational chart and company telephone contact list.
- Verify and complete invoices and payment requests in a timely manner.
- Increase knowledge of the HSE Policy and Manual and maintain a positive attitude towards the health and safety of myself and my coworkers.
- Take ownership of HSE issues and demonstrate enthusiasm and support for HSE.
**Qualifications and Experience**:
- Proficient with Microsoft Office (Excel, Word, Outlook, Power Point).
- Detail oriented, strong organizational skills, prioritization and time management skills.
- Work independently and productively.
- Motivation to multi-task and self-manage workload in a fast-paced environment.
- Strong communication skills both written and verbal.
- Excellent interpersonal and communication skills to work with internal and external clients.
- Timecard experience coupled with UKG experience is considered an asset.
The Office Administrator must represent TransCanada Turbines in a professional, polite, positive, organized, innovative and customer-focused manner, and ensure that all visitors are delighted with the level of responsiveness and attention they receive while in the care of the company.
The minimum training and/or educational requirement for this role is two (2) years related experience or a combination of education and experience that allows the individual to adequately perform the role, determined by the Director, Human Resources.
