Key Responsibilities:

- **Executive Support**:

- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize meeting agendas, materials, and minutes.
- Handle confidential and sensitive information with the highest level of discretion.
- **Communication**:

- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Screen and direct phone calls, taking messages and responding to inquiries as appropriate.
- **Office Management**:

- Maintain an organized and efficient executive office.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Manage office supplies and ensure that the executive office is stocked and operational.
- **Project Coordination**:

- Assist the CEO with various projects, research, and data analysis.
- Track project timelines and deliverables, ensuring deadlines are met.
- Coordinate and facilitate communication between departments for project-related tasks.
- **Event Planning**:

- Organize and coordinate company events, meetings, and conferences.
- Handle logistics for executive-level meetings, including catering, venue setup, and technical support.
- Manage travel arrangements and itineraries for the CEO and other executives.
- **Documentation and Filing**:

- Maintain digital and physical filing systems, ensuring easy retrieval of documents.
- Prepare reports, presentations, and data summaries as required by the CEO.

Qualifications:

- **Education**:

- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- **Experience**:

- Minimum of 3 years of experience in an administrative or executive assistant role.
- **Skills**:

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High level of professionalism and confidentiality.
- Ability to work independently and as part of a team.

Preferred Attributes:

- Familiarity with office management software and tools.
- Experience supporting C-level executives.
- Strong problem-solving skills and attention to detail.

Working Conditions:

- Office environment with occasional travel for meetings and events.
- Standard working hours, with some flexibility required for overtime or after-hours tasks.

**Job Type**: Seasonal
Contract length: 6-12 months
