**Position Overview**

As the Administrative Assistant, Public Affairs, you will provide proactive and client-focused administrative support to the Executive Vice President, Public Affairs, including calendar management, expenses, travel arrangements and drafting documents and correspondence. You will exercise considerable initiative, discretion and judgment in carrying out your responsibilities and ensuring the administrative needs for the EVP, Public Affairs are met. You will bring your positive and get-it-done attitude to solve problems and support the EVP and branch plan objectives.

In this role, you will also be responsible for but not limited to:
**Coordinate and support meetings**: Provide administrative support for committees, such as Health Issues Council and other meetings as assigned; including scheduling, overseeing logístical details, assisting with agenda and document preparation, preparation of minutes, tracking action items and provide on-site or virtual administrative support.

**Organize, anticipate and prioritize**: As the role supports a senior executive and high-level committees, you will utilize your superior organizational and time management skills and discretion to determine priorities and ensure that assignments are completed accurately and on time. You will support the EVP to manage deadlines and accountabilities including Representative Forum motion compliance.

**Build relationships**: Establish and maintain positive working relationships by using your ability to liaise in a professional and courteous manner. This position requires continuous contact with AMA staff, AMA members, members of the Board and Representative Forum, and external stakeholders.

**Foster teamwork**: Work cooperatively and effectively with colleagues in a team-focused approach, including cross training of duties, to support Public Affairs objectives and AMA’s service to physicians.

**Education and Experience**
- 2 years post-secondary diploma with a major in business or administration.
- 4 years of administrative experience including:

- Superior knowledge of Microsoft Office is required, including expertise in developing PowerPoint presentations and other documents as required.
- Demonstrated experience and skills in letter composition and grammar, editing and formatting of documents with a high degree of accuracy.
- Superior knowledge of Zoom platform (both meeting and webinar environment).
- Must have the ability to coordinate meetings and take minutes.
- Experience posting content to corporate website is an asset.

**Skills**
- Must have excellent communication and organizational skills, administrative ability and work ethic.
- Exceptional ability with written language, including superior proof reading and editing skills and attention to detail.
- Experience with scheduling, coordinating and hosting meetings, including taking minutes (action items, responsibilities and summary of discussions that took place).
- Superior initiative and collaboration skills, taking responsibility for own work but able to work with teammates to meet the objectives of Public Affairs and foster a positive work environment.
- Flexible and adaptable, able to work within a changing environment.
- Have a willingness to take direction but also be able to work with mínimal supervision or direction; be able to anticipate, manage and plan.
- Exceptional ability to liaise in a professional and courteous manner along formal and informal lines with individuals across all levels of the organization (staff and membership).
- Fully able to work effectively in a virtual environment (Zoom, MS Teams).

**Other Information**
- This position requires some evening and weekend hours in order to support meetings - overtime and/or banked time are applicable.
- Travel outside of Edmonton may be required (approx. 2 times/year) to support in-person meetings and events.

**How to Apply**

The salary for this role is $51,262 - $66,640.
