Property Administrator / Receptionist

Responsible for providing secretarial, administrative, property management and accounting support to the team.

List of tasks:

- Assists the presidents with daily administrative duties that include reports, composing and preparing correspondence, compiling documents for financial processes, systematizing office records.
- Coordinate with accounting and processing payments to vendors.
- Manage purchase requisitions. Follow-up on purchase orders, accounting, invoices and their payment, maintain quote files and processing of invoices to clients and address any client concerns.
- Provide support to the accounting department.
- Planning, implementing, and monitoring marketing campaigns.
- Provide property management support: handling all tenant enquiries and scheduling repairs as required, send communications, work with vendors and contractors to ensure approvals are secured and processed efficiently, rent collection, managing rent, tenants, maintenance, budgets, and rental property records and maintain and update the lease activities in the database.
- Regie du logement, residential renewals and TAL cases
- Keep the Salesforce CRM up to date and follow up with potential tenants.
- Work with accounting to ensure other income (bills, parking, etc.) is collected on time.
- Prepare Tenant notices and general correspondence
- Keep all the security systems database updated
- Resolving issues and troubleshooting a variety of situations
- Managing and reporting expenses
- Answer and direct phone calls
- Distribute mail
- Leasing coordination and outreach
- Coordination and management of sub-trades during construction and property management.
- Management of construction financing documentation
- Coordination with the city on a multitude of items
- Maintain an office setup that optimizes workflow.
- Assist in the preparation of regularly scheduled reports.
- Coordinate move in and moves outs with tenants, lease signings with tenants, tenant relations/communications, managing digital media and relationships with vendors and provisioning office supplies.
- Develop and maintain a filing system.
- Assist property managers
- Provide support to the accounting department. Property accounting - Residential, Commercial.
- Work with accounting to ensure other income (bills, parking, etc.) is collected on time.
- Help with preparation of year end working papers
- Coordinate with accounting and processing payments to vendors.
- Preparation of various expense reports
- Coordination with the city on a multitude of items
- Ability to work on and complete multiple projects
- Experience with real estate accounting an asset (Yardi)

Relevant skills and qualifications that would be beneficial include experience in real estate and familiarity with local real estate laws and regulations.

**Job Type**: Permanent

Pay: $55,000.00-$65,000.00 per year
