Thunder Bay, Canada Clow Darling Limited Full time

As an Administrative Assistant with Clow Darling, you will provide administrative support to all of our departments but will have a main department to look after. Responsibilities include, but are not limited to:

- Receives and assesses incoming calls and expedites the required action by transferring calls, taking and relaying messages or contacting the appropriate service(s).
- Serve as the administrative support to assigned team members by coordinating, facilitating, recording and communicating their individual, group and company-wide activities
- Prepare invoices and review technicians’ timesheets
- Prepare quotes efficiently and professionally
- Prepare weekly job schedules for technicians
- Strong ability to multitask, prioritize, and meet tight deadlines
- Coordinate special activities and liaison functions for assigned team members such as travel arrangements
- As requested, compose various documents such as agreements, contracts, correspondence, interoffice memos, reports, charts and tables
- Establish and maintain appropriate filing systems, both manual and electronic.
- Make arrangements for special and routine meetings and lunches, including coordinating conference space and schedules with other departments
- Create, update and maintain departmental databases when appropriate
- Issue purchase orders with high attention to detail
- Must be willing and able to take initiative when needed
- Must be able to work with mínimal supervision
- Ability to perform effectively under pressure in a dynamic and fast-paced environment

**Qualifications**

Minimum Requirements include:

- High school diploma or equivalent from an accredited institution
- Three to five years in an administrative support role in an office environment
- Advanced knowledge of Microsoft Office
- Strong communication skills to work with technicians and ability to work well with the public
- Demonstrate strong attention to detail and proof reading abilities
- Familiarity with a computerized accounting/dispatch system would be considered an asset
