At Senior Homecare by Angels, we are dedicated to improving the daily quality of life for each of our clients through the highest quality home care services. We are currently looking to fill-up one of our position of a office administrative assistant. This is a part-time position with a possibility of an increase to full time position. **Must have at least 1 year experience working in an Office Administrative Position**
- Act as a first point of contact within the office by greeting visitors, answering incoming calls and setting up meeting rooms
- Answers and screens incoming telephone calls; provides information to external and internal requests; directs callers to appropriate staff; takes and relays messages.
- Prepares documents (e.g., correspondence, reports, presentations, agendas, minutes, memos, policies and procedures, etc.) using a variety of software programs (e.g., presentation, word processing, spreadsheet, Alayacare etc.)
- Prepares Services Agreements (based on provincial templates) and facilitates the execution of approved documents between parties.
- Ability to produce high quality work in accordance with Homecare standards
- Ability to maintain confidentiality
- Ability to work well under pressure and use good judgment in assessing difficult situations
- Knowledge of medical terminology an asset
- Preparing reports and presentation
- Ensuring invoice payment and office account management
- Coordinate meetings, appointments, and schedules for members of the team
- Assist in updating weekly schedule
- Providing outstanding customer service to families, staff and Service providers we serve.
- Update clients care plane and referrals
- Delegating customer inquiries.
- Performing general office administration functions including accounts payable, payroll duties, data entry and various other administration tasks
- Manage office supplies, kitchen area, and mail and couriers in and out of the offic
- Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
**Required Skills and Capabilities**
- Strong comfort with Microsoft Office (Word, Excel, Teams some PowerPoint)
- Experience working in a health care environment an asset.
- Ability to manage confidential information
- Strong organizational, prioritization, and time management skills
- Excellent verbal and written communication
- Effective decision-making abilities
- Very good interpersonal and customer service skills
- Very good verbal and written communications skills
- Comprehensive knowledge of health care, organizational/office practices, procedures and standards
- Basic accounting/bookkeeping is an asset, but not a requirement
- Other duties as required
