To achieve this, we hire talented and driven people interested in working in a dynamic part of the financial services industry in Canada. We are currently hiring for a Advocacy Coordinator & Office Administrator (Ottawa Office).
The Advocacy Coordinator & Office Administrator (Ottawa Office) acts as department coordinator for the advocacy (policy, government relations, community impact/ESG, and compliance) team under the oversight of the Director, Legal, Policy & Compliance. This role is responsible for providing administrative support for the teams’ various operations, projects and activities, including, but not limited to: coordinating news and updates; managing advocacy lists and calendars; arranging meetings and appointments with internal and external individuals and groups; maintaining contact and distribution lists; and assisting with travel and other arrangements. The incumbent also manages facilities as well as Health & Safety administration activities for the Ottawa Office, is in charge of records management for the Advocacy team. The incumbent will also be called upon to provide administrative support for Advocacy webinars, publications, meetings and/or events.
KEY RESPONSIBILITIES

**Deliverables and Main Supporting Activities**:
1. Advocacy Team Coordination
Provide administrative and operational support to the Advocacy team.
- Schedule team meetings and calls
- Coordinate Advocacy updates for CU Insider and internal Policy updates
- Coordinate Corporate Report/KPI updates for the team
- Maintain departmental records and files, and library of consultations and submissions
- Maintain calendar of Advocacy webinars, meetings and consultation deadlines
- Maintain CCUA’s federal lobbyist registry
- Assist with webpage updates, as needed
- Coordinate travel, accommodation requests and other related arrangements (such as ordering food and refreshments for events), as needed
- Provide other administrative support, as needed

2. Advocacy Committee Support
Provide administrative and operational support to committees (e.g., Legislative and Regulatory Affairs Advisory Committee, Federal Financial Institutions Advisory Committee, National Compliance Advisory Committee, Community Impact Committee - and the related Climate Action Working Group, DEI Working Group, and Financial Literacy Working Group - and others, as needed)
- Schedule meetings
- Assist with agenda and meeting materials preparation and with meeting notes/recordings
- Assist with the coordination of guest presenters including ensuring they are prepared to present with any meeting material
- Set up and manage any necessary technology for committee meetings
- Assist with communications to/with committee members
- Manage the contact lists for committees

3. Advocacy Event & Webinar Support
Support Advocacy webinars and communications to raise credit union awareness of advocacy issues.
- Support and assist with organizing, promoting and coordinating Advocacy events, including the Federal Forum, GR Forum and Hike the Hill advocacy event in Ottawa, receptions, meetings with elected officials and regulators, etc.
- Assist with the development and creation of collateral material for Advocacy events
- Assist with webinar and communication topic ideas, as requested (brainstorming)
- Coordinate and communicate with participants, presenters, and guests, as needed
- Prepare attendance/survey reports, as needed
- Maintain resources on CCUA website regarding Advocacy events, webinars and topics

4. Manage Canadian Sanctions List
Compile and update monthly the Canadian sanctions list for use by credit unions in monitoring their compliance obligations.
- Monitor relevant Canadian Sanctions legislation and lists for changes and update as needed
- Maintain lists of designated individuals and organizations
- Maintain an Inventory Table
- Respond to credit union queries

5. Ottawa Office - Facilities Management and Health & Safety
Manage the oversight and coordination of facilities administration and Health & Safety for the Ottawa office, including general maintenance requests for the suite (plumbing, locksmith, plants, housekeeping & photocopiers) ordering office & kitchen supplies as well as furniture & equipment, mail/couriers and postage.
