Accounts Receivable & Collections Administrator

As a member of the Finance department, this position is responsible for preparing bank deposits, addressing account discrepancies, reviewing and finalizing invoices and supporting period-end closing procedures under the direction of the Assistant Controller. The Accounts Receivable & Collections Clerk is an integral point of contact for the Firm’s internal stakeholders and serves as an ambassador when connecting with our clients. We are looking to hire a proactive, organized person with excellent interpersonal and communication skills (verbal and written) to work with a diverse group of professionals. In coordination with other members of the Finance department and the Firm’s Senior Leadership Team, the Accounts Receivable & Collections Clerk will be a change agent for the Firm, fostering a culture of continuous improvement.

**Reporting to the Assistance Controller, your key responsibilities will include but are not limited to the following**:

- Creates and upholds positive working relationships with all external and internal stakeholders
- Processes cash collections (via cheque, electronic payment transfer, and credit card), matches payments to the appropriate invoice as per the remittance advice, and ensures all payments have been applied correctly in the finance system in a timely and accurate manner
- Prepares bank deposits
- Verifies and resolves account discrepancies, such as over/short payments, unapplied amounts, refunds, and other adjustments
- Oversees the Firm’s aged accounts receivable by following-up with clients regarding past due amounts, escalating when applicable to the Director of Finance and the Credit Committee, and executing write-offs on uncollectible amounts in accordance with Firm policy
- Analyses and reports on aging of accounts receivable, work-in-process, and cash collections data
- Reviews and finalizes invoices in accordance with the Firm’s billing processes
- Performs period-end closing procedures, including accounts receivable subledger and bank reconciliations
- Provides backup support to the additional accounting functions under the direction of the Assistant Controller and in compliance with financial policies and procedures, as required
- Recommends and implements change in pursuit of continuous improvement
- Other duties as assigned

**Experience and Qualifications**:

- Solid understanding of basic accounting principles obtained through post-secondary business education and/or work experience
- Exceptional communication skills with a strong customer service focus
- Effective and efficient data entry skills with a high level of accuracy and attention to detail
- Previous experience working with enterprise financial systems, financial reporting tools, and spreadsheets, including intermediate functions (such as pivot tables, charts, lookups, and macros) preferred
- Ability to work independently and in a fast-paced environment
- Ability to anticipate work needs and interact professionally and collaboratively with internal and external stakeholders
