Office Manager (12 Month Contract)

**Overview**:
Incumbent is responsible for managing and running the day to day operation of the office while playing also play a leading role in the general wellbeing of your fellow colleagues. Management of daily activities will be guided by national office standards and will reflect Loblaw companies core values.

**Responsibilities**:

- Builds and maintains positive working relationships with colleagues, internal partners and customers to support an office that promotes the well being of our colleagues
- Establish and maintain effective internal and external communication channels to ensure the availability and dissemination (where appropriate) of relevant information.
- Be a key support for the Health & Safety committee
- Plan, organize and facilitate customer meetings to provide transparency and effective communication in the areas of issue management, event calendar and year-end planning, change controls, and SLA Reporting.
- Take on ad hoc assignments / projects as assigned by Director of Office Services
- Work with the National Office Maintenance Manager for building maintenance issues as outlined in the lease agreements
- Oversee the day porter and night janitorial service; coordinate with the janitorial company and building management to ensure our facilities are clean, neat, and tidy and kitchens are maintained and stocked to company standards.
- Oversee and manage the office supply ordering process with internal colleagues
- Event Management: in partnership with employees. Execute company-wide events hosted on within the offices where required.
- Oversee kitchen areas. Manage and oversee a process of stocking, taking inventory, and reordering food/ pantry items on a daily basis.
- Work with day porter to ensure kitchen areas are stocked and maintained throughout the day, refilling areas that are empty and wiping down counters.
- Ensure a safe working environment; assess working spaces and take corrective action to reduce any potential safety risks.
- Coordinate with the IT department to maintain AV and phone systems across the building
- Point person with the landlord Property Management Company on office requirements and permits.
- Maintain budgets and reconciling invoices/ process expenses for office management.
- Work to continuously streamline costs and expenses, recommend changes.
- Help manage and coordinate changes to the building as we renovate

**Qualifications**:

- Post secondary education in building sciences/facilities management or related business fields.
- Team player with excellent interpersonal and communication skills.
- Knowledge of computer systems (Microsoft Excel/ Word and SAP) with an aptitude to learn new programs.
- Understanding/Working Knowledge of all types of construction documentation; i.e. drawings, specifications, contracts, and even property lease agreements.
- Ability to plan and work independently.
- Detail oriented; strong analytical and organizational skills.
- Able to effectively direct the work of others.
- Travel is required between SDM offices; valid driver’s license is required.
- Work well under pressure in a challenging environment.
- 5-7 years’ building maintenance management experience or related business field.
- Architectural or engineering background that relates to property/facilities maintenance management in the industry is an asset.
