Job Scope- The incumbent performs as a working partner to the EVP to facilitate effective management practices, delivery and execution of corporate priorities and ensure sound and prudent management and direction of the company.- The EA regularly handles diverse matters requiring extensive knowledge of the corporation and the EVP’s area of responsibility with a divisional focus. There is an absolute requirement to maintain confidentiality.- Responsible for collaborating across EVP support team to collectively organize and ensure smooth operation of SGI’s Executive Office.- Workflow and specific duties are driven by the scope of work, individual priorities, and the support needs of the EVP.

Key Accountabilities

EVP Liaison and Support- Provides comprehensive confidential support to proactively assist and anticipate the needs of the EVP; makes decisions that contribute to the EVP’s productivity and effectiveness.- Develops a deep understanding of the EVP’s corporate responsibilities; shares information and awareness in a reciprocal manner to calibrate priorities, protect work time, and enhance the progress of activities and outcomes.- Employs tactical thinking, while assessing impacts, risks, and develops contingencies to initiate plans, anticipate priorities, identifies, and resolves issues and makes process improvements.- Oversees calendar management, task management, expense and travel management, and communication management.- Handles correspondence directed to the EVP through various sources; determines appropriate action, responds, or escalates matters for the EVP’s attention.-
- Plans, coordinates, and executes the logistics for EVP hosted meetings and events. Attends and participates in management, staff, and stakeholder meetings. May necessitate personal travel to provide on-site assistance.- Collaborates with EVP to performs delegated managerial work (e.g., expense reviews, delegated authorization of pre-approved signoffs, mapping out workflow deliverables and dependencies, scheduling meetings, onboarding staff and performance management cycles).- Coordinates with Communications department on content for speaking engagements and to arrange distribution of communications on EVP’s behalf.- Develops and maintains relationships with stakeholders using appropriate discretion, confidentiality, and respect for protocols.

Board Liaison and Support- Delivers executive assistance and administrative support to SGI directors.- Coordinates meeting and event logistics; delivers director hospitality to assist with execution of effective meetings.- As a key support for Board operations, performs board document routing and management to facilitate the review and approval workflows with all stakeholders; produces high-quality meeting packages to enable Board meeting deliberations.-
- Supports executive lead within their area of responsibility with Chair relations and meeting preparedness, including advisor and guest logistics.- Compiles and submits board member meeting dues and expense submissions for approval and payment.- Facilitates EVP expense audit process for Audit Chair review in accordance with its terms of reference.

Governance Administration- In conjunction with the EVP, coordinates contributor document submissions (decision requests, information, and decision items) for corporate decision-making deliberations (Board of Directors and Executive Leadership Team.)- Manages the deliverable tracking mechanisms, conducts regular follow-up, and reports on the status of commitments.- Assists contributors with document standardization, formatting and facilitates workflows.- Educates others about corporate templates, standards, timelines, and overall process requirements.- Supports EVP with content management of their team SharePoint site and champions corporate practices for document and records management.

Corporate Affairs- Communicates with contacts on matters pertaining to the Executive. Contacts are diverse and include government agencies, Crown entities, brokers, industry partners, the public and staff.- Cooperates with the Fair Practices Office and Corporate Safety on customer issues escalated to the Executive Office.- Aids Executive with the roll out, implementation, and administration of key initiatives, special assignments, and evolving programs.- Ensures execution of signoffs, approvals, and decision requests on behalf of the Executive.
