**Office Manager & Executive Assistant**

**Higher Education Strategy Associates Full-time, Permanent**
**Location: Toronto, ON**

We are seeking an Office Manager and Executive Assistant for a permanent position. This role would be based out of our downtown Toronto office, public health conditions allowing. Responsibilities would include:

- Administering the office budget and day-to-day finances, including processing payments and maintaining short-term revenue and spending projections;
- Maintaining our physical and IT assets, including in terms of procurement, maintenance and inventory;
- Handling administration related to our human resources, including health and dental insurance;
- Assisting with scheduling of meetings and research activities;
- Coordinating office travel;
- Administering promotional activities such as mail-outs;
- Identifying and helping to enact improvements in company operations;
- Coordinating HR processes, including recruitment, onboarding, recordsmanagement and routine HR administration;
- Working with the Vice President to promote compliance with applicableemployment regulations, e.g., by organizing and keeping records related to health and safety training, posting health and safety policies, liaising with building management to facilitate fire safety training;
- Information Management: Maintaining centralized management of subscriptions to software, information services and knowledge resources; maintaining a system to organize files and ensure that project records are complete and up to date, including contracts and amendments;
- Assisting project teams to maintain records that forecast workload, monitor and promote compliance with time-tracking software, and generate time usage reports as required by management.

**Additional specific attributes that would be an asset include**:

- Capacity in financial management - experience with QuickBooks is a particular asset;
- Training in project management;
- Native or near-native fluency in French (please note any other languages as well);and
- Being flexible and comfortable managing a variety of different demands at once, at times under short deadlines.

**Salary and Benefits**
- Starting salary of $60,000 per year.
- Access to twenty days of paid vacation (pro-rated from start date).
- A medical and dental package is offered from Day 1
- Flexible start and end hours and opportunities to work from home up to 50%weekly.

**Start Date - Immediate**—we are looking for someone who can hit the ground running.
