**Role Summary**

Working very closely with the Member, you will serve as the link between the MPP’s office at Queen’s Park and his Constituency Office. As the Executive Assistant, you will lead the successful coordination and execution of the Member’s parliamentary and community duties. This includes supervising staff and ensuring the smooth operation of both the legislative and constituency office. Additionally, the Executive Assistant to the Member will be responsible for engaging with the riding’s constituents, local groups, stakeholders and other relevant parties by responding to their enquiries and assisting with community outreach. An individual with strong organizational, leadership, and team-work skills will thrive in this role.

**Executive Assistant to the MPP**

**SUMMARY**

Working very closely with the Member, you will serve as the link between the MPP’s office at Queen’s Park and their Constituency Office. You are expected to co-ordinate the Member’s Queen’s Park and Constituency Office logistics and ensure that the parliamentary and community duties on behalf of the Member are carried out. The Executive Assistant to the Member will be responsible for engaging with the riding’s constituents, local groups, stakeholders and other relevant parties by responding to their enquiries and assisting with community outreach. You will be responsible for ensuring the operation of both the legislative and constituency offices. The EA role is supervisory over all other staff members, and it is therefore your role to ensure all delegated tasks are completed and that any issues that need to be elevated to a supervisory position are dealt with. The EA is ultimately responsible for ensuring the Member is able to carry out all of his obligations. Given this, those with prior experience in a political office as an Executive Assistant, Chief of Staff, or other similar role will be prioritized.

**DUTIES**

**Office Management**:
Supervise and assume responsibility for the Member’s office affairs such as:

- Manage and supervise staff
- Assign duties and assignments while balancing workload
- Manage office inventory, logistics, and finances, including the Global Office Budget, and monitor staffing levels
- Manage all forms of correspondence and office calendar
- Develop goals, values and strategy for the Office, and ultimately ensure that staffing and operations are consistent with these objectives

**Constituency Services**:

- Assist all other members of the team in completing case work
- Monitor the broader constituency caseload to ensure high quality control standards prioritizing timeliness, satisfactory resolution and a strong client-focused brand
- Assist the Member in forging strong community relations by identifying and liaising with stakeholders to foster constructive two-way communication
- Ensure that there is representation at community/stakeholder events by office staff
- Respond to and resolve issues and problems, escalating to the Member and appropriate Ministries as appropriate
- Write and edit information for constituency newsletter or information bulletins, advertising and marketing materials (print and digital)

**Member Support**:

- Advise Member of policy and strategic recommendations as well as emerging community/political issues
- Collaborate with the Legislative Assistant in administration of the Member’s legislative and constituency office calendars
- Assist with Member correspondence and logistics to execute professional functions (e.g. travel)
- Research and draft responses to correspondence for MPP’s review
- Perform research and development of speaking notes and other communications products
- Provide thoughtful recommendations drawing on research and analysis to resolve complex political or community challenges
- Accompany and/or represent the Member at events related to legislative and constituency priorities

**QUALIFICATIONS**

University degree or post-secondary education in political science, history, government relations, communications or a related field combined with experience working in an office or political environment. Alternatively, an acceptable combination of education, training and relevant experience.
