Fundraising & Events Coordinator

**Hours: 8:30 - 4:30 pm with some evenings for meetings/events.**

One year contract with the option for renewal based on budget and performance.

**Reports to the Executive Director**:
**Position Summary**:
The Fundraising and Events Coordinator is engaged in the organization’s communications (marketing, and community outreach) & fundraising efforts with an expertise on marketing, social media and event management. Their role is to work with the Executive Director to liaise with prospective Sponsors, Donors and steward existing donor relations, ensuring visibility and a positive community reputation for the organization.

Through exceptional event management skills and creative and detailed fundraising initiatives they will be responsible for retaining existing fundraising revenue and securing new revenue streams for sustainable operations.

**Responsibilities and Duties (but not limited to)**:
**Marketing/Communications**
- Communications: social media savvy, managing the bi-annual Newsletter layout and production as well as experience using design software e.g., Canva.
- Community meetings with volunteers and other partners as required.

Presentations to local businesses and service clubs as required.

**Fundraising/Donor Stewardship**
- Working with the Executive Director, development and execution of Annual Giving program.
- Working with the Executive Director to develop donor stewardship strategies including Planned Giving.
- Coordinating annual fundraising events. Experience organizing a fundraising Gala is preferred.
- Work with a Volunteer Fundraising Committee and the Executive Director for major events.
- Work with Executive Director re: planning and tactics for strengthening stakeholder relationships.
- Build and maintain positive volunteer and community partnerships in support of 3rd party events.

**Volunteer Management**
- Community Relations and volunteer management experience preferred. Ensure appropriate recognition is provided to all Volunteers, Donors, Sponsors and other supporters.
- Work with Board of Directors & Executive Director on Event Committee. Lead in monthly Event Planning Commitee meetings as required keeping the project on a strict timeline to ensure goals are met.
- Recruit, screen and develop an appropriate mix of administrative and event volunteers to support programs and events as required.
- Conduct volunteer training prior to events.

**Administration**
- Provide administrative support /customer service as required at front desk reception as required.
- Data entry (accuracy and consistency is critical) and issuing tax receipts using CRM/receipting software.
- Project Management: event planning and execution. Monitoring expenses to budget and reporting on financial results. Assist the Executive Director as required with community presentations, speaking engagements.
- Respond to general fundraising inquiries as required.

**Qualifications and Skills**:

- Post-secondary education in Business Administration, Event Management, Marketing & Communications, Fundraising.
- Minimum of two years fundraising/event experience in a non-profit environment preferred.
- Working in an Animal Shelter environment would be considered an asset.
- Knowledge of project management, strategic communications planning, fundraising principles, and targeted message development.
- Demonstrated ability in using MS Office programs at an intermediate/advanced level, scanning software, and working knowledge of basic web design and tools; Experience with WordPress and advanced user with existing and emerging new social media tools preferred. Design Software experience is a requirement e.g., Canva
- Excellent communications skills, verbal and written; ability to communicate messages in a professional and engaging manner.
- An excellent writer, with superior proofreading and editing skills.
- Detail oriented, extremely well organized, multi-tasking and project management skills, demonstrated ability to prioritize and resolve conflicting demands and deadlines, and work independently and as part of a team.
- Exceptional interpersonal skills, as well as tact, diplomacy and professionalism.
- Well-developed relationship building skills and the ability to establish rapport.
- Analytical and problem-solving abilities to research and present information.
- Demonstrated ability to work in a highly confidential environment with constant communications between the leadership team, and to maintain confidentiality and discretion.
- Outgoing, adaptable, self-motivated, and a strategic thinker with fresh ideas and an enthusiastic approach to their work. Can work in a fast paced team environment but also work independently on projects.
- Ability to work flexible hours when required, but typically the hours are 8:30 am to 4:30 pm Monday to Friday and some Saturdays for donor meetings or events.
