Black & McDonald Limited is actively seeking an Office Administrator to support the Western Utilities Region. As the Office Administrator, you will ensure employees have the proper support to work efficiently and that the office/workplace runs smoothly. In addition to answering the phone and coordinating calendars, the Office Administrator will be the first person internal employees and visitors meet, so they must be able to perform many basic customer service tasks.

**Duties & Responsibilities**
- Schedules meetings, appointments, and maintains management calendars
- Coordinates travel arrangements when required
- Maintains accurate and organized records, including filing systems, databases, and document management
- Serves as a point of contact between employees and management; distributes information within the group as needed
- Assists in tracking office expenses and managing the budget for administrative needs
- Assists with basic human resources tasks, such as onboarding and offboarding employees
- Provides administrative support to the Project Managers and Estimators, including ordering bid bonds, tracking and renewals
- Assists in planning events for the office
- Oversees the office's day to day operations; maintains a clean and organized workplace
- Manages office supplies, orders new stock when necessary, and ensures office equipment is in working order
- Other duties, as assigned

**EDUCATION REQUIREMENTS**
- A College Diploma in Office Administration or equivalent is beneficial

**WORK EXPERIENCE REQUIREMENTS**
- Minimum 2 years' experience in a similar role

**SKILLS, ABILITIES, AND OTHER REQUIREMENTS**
- Excellent organizational and time-management skills; able to multi-task and assist multiple employees on various requests
- Ability to communicate clearly and effectively both verbal and written; must be able to relate to manager, co-worker, trades personnel and customers in a professional manner
- Strong attention to detail in all areas of work
- Adaptability and flexibility to adjust priorities for whatever task is most important at any given time
- Ability to handle sensitive information
- Complies with office policies and procedures
- Can demonstrate leadership skills in addressing and resolving administrative issues or inquiries promptly
