**About the Role**

Reporting to the Production Manager, the Records Administrator is responsible for the implementation and maintenance of department records. As an ERP superuser, the Administrator ensures all documentation is accurate and current, provides training to other users as required, and carries out frequent data compliance audits. The Records Administrator performs general administrative duties and works collaboratively with production supervisors to ensure all assigned work is completed in a timely manner.

The Administrator will work closely with all members of the Production team to establish and support procedures for data accuracy and reporting. The Administrator demonstrates independent judgment in the planning, prioritization, and execution of projects, assignments, and communications.

**Job Requirements**

Applicants must be legally entitled to work in Canada and have strong English language skills. The ability to read and understand written English and communicate in English both spoken and in writing is a requirement of the job.
- Education: College Diploma in Office Administration, Business Administration, or equivalent work experience.
- Experience: Minimum of 1 year of experience in office administration in a manufacturing operation. Preference for experience in consumer goods industry, and food and beverage industry desired.

Work in compliance with the provisions of the OHSA, regulations, internal programs, policies, and procedures.

**Key Duties and Responsibilities**
- Maintain and administer the ERP system for the Production Department; work closely with Finance, Logistics & Supply Chain, Engineering, and other departments to troubleshoot and resolve data issues.
- Assist in the implementation of document control to meet internal standards.
- Maintain department documents, with frequent review to ensure documents are current and follow company’s document control procedures, quality assurance requirements, and nomenclature.
- Assist in development, review, implementation, and frequent review of SOPs and accompanying documentation relating to data management.
- Keep documentation up to date in the required time frame; perform verifications (records and onsite) on the ERP system.
- Manage and maintain the inventory levels for department consumables and PPE.
- Manage purchase orders and follow-up on delayed orders.
- Assists Production leadership team members with administrative duties as required.
- Assist in the preparation, collation and issue of reports and registers.
- Monitor technical documents review and approval in accordance with schedule.
- Is privy to and must protect department and company confidential information.
- Handles special projects and other duties as assigned.

**Working Conditions**

The standard office hours are Monday through Friday, 8:30 am to 5:30 pm. Most of the work occurs during regular weekday office hours. However, as an international company with frequent interaction with head office, hours of work involved may vary to accommodate differences in time zones. Flexible hours are required and may include evening and week-end hours.

This job operates in office and food manufacturing setting. Travel may be required, both within Canada and internationally.
