**POSITION TITLE**: TEMPORARY Housing Administration Assistant
**REPORTS TO**: Program Supervisor
**Scope of the Position**:
CMHA’s Permanent Supportive Housing programs provide long-term housing in a fully staffed environment for individuals who have struggled with chronic homelessness and cannot be successful maintaining housing on their own. This position is fully administrative in nature, while an integral part of a larger team providing direct service to tenants. Client contact is likely, although not part of the direct job description.
**Key Responsibility**:
- Maintain all forms and paperwork for staff use
- Supply requests and ordering
- Maintain tracking logs and database information
- Oversee proper tracking of anything involving money; weekly bank deposits
- Track maintenance issues and communicate with landlord to ensure timely responses
- Notice of entries for maintenance
- Damage reports
- Organize package delivery and courier services
- Track gift cards and tenant work hours
- Oversee agency vehicles such as tracking mileage and maintaining vehicle documents
- OH&S responsibilities
- Monthly reporting
- File, database and HR audits as required
- Monitor & download camera footage as required
- First Aid enrolment for staff members
- Lights on Funding Representative
- Key cutting and Main Office pick-up/drop-off
- Answer main phone line
- Attend all-staff meetings and take meeting minutes
- Meeting minutes as designated by the Program Supervisor
- Any other related tasks as designated by the Program Supervisor
**Qualifications**
The Housing Administrative Assistant will have an administrative background ideally with experience in Excel, Word, SharePoint and all Office 365 features. Prior experience in the mental health and/or addiction field is preferred.
This position requires a clear Criminal Record Check completed in the last 3-months, Driver's Abstract completed within the last 3-months a valid Driver's License and personal insurance policy with 2-million Third Party Liability as well as a valid Intermediate First Aid Certificate.

Hours of work are Monday to Friday 8:15am to 4:30pm.
