We currently have an exciting opportunity as an Executive Assistant. This role is based in our office in Oakville, Ontario and supports members of the Leadership Team.

**Job Summary**
**Principal Responsibilities**
- Conduct daily calendar management (Outlook) and proactively adjust schedules based on priorities based on different time zones. Proactively resolving schedule conflicts.
- Coordinate meetings/conferences both locally and at remote locations, negotiating contracts to prepare for all logistics of meeting requirements - book conference rooms, set up web and conference calls, a/v equipment, catering, air travel for domestic and international locations and hotel reservations using SAP Concur system, etc. Travel at times will be required
- Work collaboratively with administrative and operations support colleagues to efficiently resolve day-to-day issues. Identify and implement continuous improvement opportunities
- Prepare and support confidential and critical communication, as assigned
- Assist internal customers with their departmental meetings
- Build organizational charts for the various departments
- Prepare expense reports and ensure they are submitted timely
- Support onboarding activities for new hires within assigned teams, with HR
- Handle general day to day office admin i.e. photocopying, scanning, filing
- Manage back-up coverage due to vacations
- Other projects as assigned.
**Requirements**:
**Qualifications & Experience**
- Proven experience (3+ years) in providing Executive support to C-level executives
- Diploma/degree in Business Administration an asset
- Experienced with Microsoft office software, i.e. word, excel and power-point
- Ability to work in a fast-paced environment and be flexible as business needs change
- Strong organizational skills, attention to detail and the ability to prioritize
- Strong problem solving skills;
- Excellent communication and interpersonal skills; customer focused
- Ability to exercise independent judgment and discretion in dealing with highly confidential matters
