This position will be responsible for providing transactional support to the HR Coordinator, Manager, and HR team members. This role will assist in the development and implementation of policies, recruitment, new hire orientation, and other areas as directed. Other duties include maintaining accurate HR systems and personnel records and other duties as required.
**Position Responsibilities**
- Prepare onboarding for new employees; new hire packages, scheduling orientation sessions and completing new hire administration.
- Provide general administrative support such as arranging meetings, composing correspondence, processing confidential reports and documents, filing electronic and hard copy documents, tracking deadlines for HR programs, taking meeting minutes as needed and maintaining organizational charts.
- Process HR forms (payroll change forms, transfer letters, training and development requests etc.) and assist with updating templates.
- Manage HR training database and coordinate employee enrolment and payment for external training courses and processing professional dues requests
- Recruitment support; managing our ATS, posting new opportunities, conducting pre-screens, reference and background checks and scheduling interviews.
- Set up new vendors in our accounts payable system and process invoices for the HR team;
- Support the implementation of services, policies, processes and programs;
- Other ad hoc HR projects as assigned.
**Health & Safety Responsibilities**
- Promote Westport’s H&S culture by leading by example in relation to Environmental, H&S policies and procedures and understand your obligations and responsibilities as it relates to applicable H&S Acts and Regulations
- Enforce Westport’s H&S policies and procedures, encourage safe work practices, correct unsafe acts or conditions, conduct formal and informal workplace inspections
- Immediately respond to, investigate and take action from reports of unsafe conditions and/or behaviors
**Position Requirements**
- Working towards a certificate/diploma in Human Resource Management or Business Management
- Currently enrolled in a post secondary Work Integratred Learning (WIL) program, seeking a Fall Co-op (4 or 8 months)
- Effective problem-solving skills and the ability to thrive in a fast paced environment with changing priorities and competing demands
- Sense of urgency with the ability to respond in a timely and efficient manner
- Excellent organizational and planning skills with the ability to balance multiple priorities
- Proficiency in MS Office Suite
- Ability to present information at a professional level using forms, tables, and spreadsheets
- Must possess tact, diplomacy and the ability to maintain a high level of confidentiality
- Ability to work collaboratively in a team environment
