The role of the Receptionist/Sales Administrator is to greet customers and employees in person or by phone, in a friendly, positive way, ensuring the customer feels welcome and comfortable. This role includes various administrative responsibilities as outlined in, but not limited to the list of responsibilities. These duties are to be performed in an efficient, accurate manner, providing support to other departments and managers in a helpful, prompt manner. In this role, you are the face of the dealership, with your interactions with employees and customers leaving a strong impression of what to expect in their experience at Listowel Ford.

**Duties**:

- Welcoming every customer immediately upon entering the front doors of the dealership, and answering the phone promptly, directing and/or connecting the customer with the appropriate individual in a timely manner. This may include taking accurate messages and conveying them to the appropriate person.
- Performing morning duties including opening the doors, ensuring coffee and other amenities are available in the Customer Lounge. This may include additional responsibilities related to store opening and the Customer Experience from time to time.
- Performing administrative responsibilities as assigned by the Controller which may include helping in various duties requested by other leaders and as approved by the Controller. These duties may include (but are not limited to) deal deposits, accurate record keeping, closing out POS terminals for end of day receipts.
- Providing support to the Sales Manager to facilitate dealer trades (i.e. arranging drivers for pick-up and delivery) or other duties as required.
- Perform data entry, input all vehicles into DMS with efficiency and accuracy.
- Responsible to fulfill the requirements set out by the Province for Health and Safety at Listowel Ford.
- Maintain all vehicle stock numbers and keys being processed for accuracy.
- Completing files, keys and forward to appropriate departments
- Maintaining office supply inventory for accuracy and proper levels of stock, keeping information up to date with pricing of our supplier for cost effectiveness.
- Completing daily processing of all new vehicle inventory and trade in vehicles and maintain any paperwork for designated vehicle lines in an accurate, efficient way.
- Performing other administrative duties to support the Sales Department as requested by the Controller which may include Dora's, Trade Rev, and TD Floor Plan reconciliation.
- Oversee and direct all cash or any type of refund as approved by management, for all customers. In addition, in the role of Receptionist/Sales Administrator, you may carry out other responsibilities and duties as assigned.

Qualifications:

- The Receptionist/Sales Administrator role requires the employee to have a High School Diploma. Relevant post-secondary education would be an asset.
- The Receptionist/Sales Administrator must have a minimum of two years' experience in a related accounting or administrative function.
- The Receptionist/Sales Administrator must be able to perform their responsibilities in an efficient and accurate manner, presenting a friendly and professional demeanor to all those with whom you come in contact. In this role, you will be required to be attired and groomed in a professional way, wearing business casual attire.

Hours are 8:00am - 5:00pm, Monday - Friday.

Pay: $20.00 per hour

Expected hours: 40 per week
