- Position Summary:
- Under the direction of a Senior Manager, the incumbent plans and supports recruitment and admissions events for prospective students, families, and counselors, in accordance with established goals and objectives and the University’s overall mission.- Primary Responsibilities:
- Plans and supports on-campus student recruitment and yield activities, including Open House, Study at McGill, counselor workshops, yield events, and others as required and in line with organizational objectives.
- Organizes logistics related to on-campus activities including but not limited to transportation, accommodations, facilities, catering, signage, accessibility requirements, and event security to ensure all related measures are taken to provide a safe and seamless event.
- Ensures that costs associated with on-campus recruitment activities fall within the established budget by negotiating costs and keeping track of expenses.
- Interviews, trains, schedules, and supervises volunteers and student casual staff (work study students) participating in on-campus events such as Open House and Study at McGill, when applicable.
- Acts as liaison between the department and McGill representatives from other units and Faculties to organize events and activities.
- Maintains good rapport with clients and staff within the Future Students Unit and across the University community by identifying needs and ensuring work is performed in accordance with established Enrolment Service goals and objectives and the University's overall mission.
- Based on evaluations and best practices, suggests improvements to support the achievement of established objectives.
- Stays up-to date regarding university policies and procedures for the organization of events.
- Answers questions and provides resources (ex. web links and documents) about admissions, recruitment, scholarships, and student services during events.
- In collaboration with other team members, creates survey questions, reviews data, and prepares reports for recruitment and yield activities and events to help review overall effectiveness and offer suggestions to improve upcoming activities.
- Collaborates with the internal Communications staff to update communication tools such as the website, social media, and customer relationship management system for various recruitment activities.
- Participates and supports recruitment trainings and takes part in professional development activities to remain well informed of university practices and programs and ensures strong delivery of information and support of our prospective students and their support networks.
- Performs other duties in support of the operations of the unit.
- Other Qualifying Skills and/or AbilitiesProven experience in event planning and/or logistics administration, data analysis: ability to review statistics and reports, condense, recap, and evaluate data to propose and plan effective recruitment activities. Experience working in a fast-paced environment. Experience in admissions and/or advising potential students on admissions criteria. Knowledge of the student life cycle an asset. McGill undergraduate experience an asset. Proven organizational skills, ability to prioritize, and multi-task accurately with attention to detail. Experience working in a PC environment using databases, presentation software, web tools, and Microsoft Teams. Excellent interpersonal, communication, public speaking, and writing skills. Experience with professional social media campaigns, creation of dynamic slide presentations, an asset. Proven ability to work autonomously and as a member of a team. Valid Quebec Driver’s license and valid Canadian Passport. Ability to travel extensively and work flexible hours, including evenings and weekends, and during McGill Summer Academy. Fluently bilingual, English, and French, spoken and written. Knowledge of other languages a definite asset.
