**Summary**

Ballenas Housing Society (Ballenas) has a high standard expectation for this position, following the guidelines set forth by BC Housing.

Reporting to the Manager, Housing Operations (or designate) and in accordance with Ballenas' mission, strategic direction, principles and policies, the Tenant
Coordinator’s primary responsibilities are to administer all tenant matters as they relate to the Residential Tenancy Act including, but not limited to, tenant interactions, notices and correspondence, tenancy agreements, rent calculations and arbitrations; and to provide other related duties as assigned.

**Specific Duties and Responsibilities Based on Key Competencies**:
**Problem Solving/Judgement**
- Ensure tenants are abiding by the terms of their rental agreements, including paying rent and following all building rules and regulations
- Resolve tenant issues and complete required reporting; ensure efficient and effective administrative processes compliant with the Personal Information Protection Act and Residential Tenancy Act of British Columbia
- Manage maintenance related requests and create workorders
- Manage conflict while respecting the contributions of others; maintain composure and professionalism in stressful situations

- Commit to well-being of self and others through adherence to WorkSafeBC regulations and
- Ballenas safety procedures; immediately report any non-compliance, or incidents of injury and accident to the Manager, Housing Operations
- Recognize and appropriately respond to emergency situations in accordance with Ballenas policies and procedures

**Teamwork and Client Service**
- Interact with tenants at Ballenas managed properties to establish onsite presence and maintain positive relationships; promote tenant rapport with all Ballenas divisions
- Manage tenant relationships to increase understanding, ensure effective communication, and minimize complaints, address tenant concerns in a timely and satisfactory manner
- Coordinate with Maintenance team to ensure tenant awareness and compliance with required property activities and operations, including unit inspections, repairs and building security
- Communicate with team members to ensure work is on track to meet departmental goals; attend regular team meetings

**Personal Effectiveness**
- Monitor, receive and record rent payments; conduct regular (annual and as required) rent reviews, calculate rent increases confirming rent-geared-to-income (RGI) within BC Housing guidelines; ensure all tenant payments are collected and processed from all office drop off locations
- Prepare all required documentation and effectively participate in arbitration hearings

**QUALIFICATIONS**

EDUCATION AND EXPERIENCE
- Post secondary degree or diploma plus a minimum of 3 years’ experience working with tenants; or an equivalent combination of relevant education and work experience
- Demonstrated experience working directly with vulnerable populations including seniors and persons with mental and physical disabilities, addictions issues and low literacy
- Computer proficiency using MS Office 365 and property management software

KNOWLEDGE AND ABILITY
- Strong customer service orientation; advanced interpersonal communication, problem solving, conflict resolution and organizational abilities
- Working knowledge of housing operations, tenant communications, data and document management
- Working knowledge of the Personal Information Protection Act and Residential Tenancy Act of British Columbia
- Knowledge of safe work practices, relevant WorkSafeBC requirements and responsibilities

OTHER REQUIREMENTS
- Valid driver’s licence, access to reliable vehicle and clean driver’s abstract
- Passing Criminal Record/Vulnerable Sector check
- First Aid Certification an asset
