Executive Assistant

**Position Summary**: The Executive Assistant (EA) will provide high-level support primarily to our President (80%) and secondarily to other executive team members (20%), streamlining administrative functions to enhance executive efficiency, improve internal communications, and support strategic initiatives. This role is essential for enabling our executive team to focus on strategic business objectives and achieve our goal to double revenue in four years.
**Key Responsibilities**:
- **Administrative Support**:
- Oversee document management systems, ensuring key executive files are organized and accessible.
- Collaborate with the Marketing team to align executive communications with corporate branding.
- **Calendar & Meeting Management**:
- Maintain the President's calendar to optimize time management.
- Coordinate meetings, prepare agendas, and track action items.
- **Project & Goal Management**:
- Track executive-level projects, deadlines, and deliverables.
- Conduct research and present actionable recommendations to support executive initiatives.
- **Expense Management**:
- Oversee and reconcile executive expenses, ensuring alignment with budget guidelines.
- Coordinate with finance for approvals and monthly reconciliations.
- **Travel Arrangements**:
- Plan and manage travel for the President and executive team, ensuring seamless coordination.
**Who You Are**: You are a highly organized, proactive individual with excellent interpersonal and communication skills. You’re able to balance competing priorities, work with discretion, and bring expertise in executive support, including document control, expense management, and project coordination.
**Preferred Qualifications**:
- Experience in document control, executive support, and expense management.
- Proficiency with Office 365, productivity apps, and business support software.
- Proven ability to support executive-level decision-making and project coordination.

Pay: $65,000.00-$85,000.00 per year
