Lease Administrator

The Lease Administrator will provide oversight and support to the Western Canada leasing team in its
day-to-day workflow and will assist the western leasing managers and directors with anywhere from
twenty to twenty-five active deals.
Your Responsibilities:
- Oversee the day-to-day administration of the Leasing Department including but not limited to:
- Assisting with the completion of lease files;
- Drafting correspondence to tenants, lawyers and brokers, filing, etc;
- Reviewing documents prior to their execution by the Landlord, ensuring for accuracy and
completeness;
- Assisting with lease review for due diligence
- Tracking all lease activity;
- Compiling market intelligence and comps.
- Completing expense reports for the Leasing team;
- Organizing, planning, and coordinating leasing events, open houses, broker gift packages,
launches, presentations and roadshows etc.;
- Coordinating prospective tours through occupied spaces;
- Responding to requests from internal departments for leasing data as required;
- Organizing and saving leasing team documentation.
- Create best practices, tools and templates,
- Assist in drafting and responding to RFP’s, offers to lease, waiver letters etc.,
- Update monthly Stacking plans for all western properties and VTS reports and distribute
throughout the team,
- Monitoring condition dates for all deals,
- Request credit searches through QCR;
- Work with leasing team to establish new systems and SOP’s;
- Administrative support for building marketing material;
- Develop strong relationship with tenants and other real estate professionals;
- Initiate and complete other projects as assigned;
- Coordinate and track all building measurements and floorplans;
- Assisting in the budgeting and reporting process as needed;
- First point of contact for all leasing invoices;
- Assisting with general office administration duties.
Success Factors:
- Experience in the commercial real estate industry.
- Experience working in client driven industries.
- Additional education is an asset.
**Requirements**:
- Minimum of 2-4 years of administration experience or equivalent working experience in a leasing
department or related field;
- Highly proficient in administrative duties such as drafting correspondence, scanning, filing etc.
- Strong organizational, time, and project management skills, detail oriented with exceptional
analytical and problem-solving abilities;
- Strong listening and communication skills;
- Collaborative worker, effective member of a team; strong team building skills;
- Strong ability to prioritize;
- Demonstrates resilience, passion, and commitment to deliver and be accountable for the results;
- An assertive self-starter with the ability to work independently but also as part of a team;
- Knowledge of business; planning and organizing;
- Strong technical competence in Microsoft Word, PowerPoint, Excel and Adobe Creative Suite;
