Salary:
As an Administrative Assistant for Westview Projects Inc., your base of operations will be the Westview Projects head office, located at 18 Louisa St., Ottawa, Ontario. The Administrative Assistant provides executive support to the Management Team and administrative support to all departments.

**Reports to**:Director, Finance & Operations

Essential Functions/Responsibilities:
Administration
- Assist with event coordination and/or travel, as required
- Manage boardroom bookings/calendar
- Oversee office supplies and services, including restocking supplies, relocating employees to new areas, equipment maintenance
- Point person for property management services, such as parking permits & office cleaners' schedule
- Ensure office supplies are fully stocked, including photocopier, stationery, and kitchen/cleaning supplies.
- Manage IT equipment inventory & issuance (corporate devices, such as cell phones, laptop, tablets, etc.)
- Process & file invoices; reconcile credit card accounts
- Collect, organise & tally receipts for monthly expense submission
- General data entry support for finance and project teams
- Other administrative duties, as needed

Communications
- Coordinate content for staff, client and/or vendor communications & prepare for distribution in software platform
- Monitor & update website content, as provided
- Monitor & update social media account content, as provided

Qualifications:

- College Diploma in Office Administration, or a combination of education and industry experience
- Administrative or office experience - minimum of 2 years
- Adaptability and flexibility to adjust priorities
- Strong written & verbal communication
- Excellent attention to detail
- Microsoft Office proficiency
- Ability to multi-task and work independently
- Ability to handle sensitive information
- Aptitude for new technology
- Bilingualism is an asset
