Position Overview

The Administrative Assistant will play a crucial role in ensuring smooth day-to-day operations by providing administrative support to human resources and executives. The ideal candidate should have excellent communication skills, strong attention to detail, and the ability to multitask effectively. This role will be responsible for a variety of tasks including coordinating meetings, handling communications, and performing general clerical duties. This position offers an opportunity to work in a dynamic environment and contributes to the success of our organization.

This is a 6-month contract with the possibility of an extension.

Key Responsibilities

  • Assist the Human Resources Manager in interviews and meetings to take minute meeting notes.
  • Answer and direct phone calls and emails to appropriate parties.
  • Prepare and distribute correspondence, memos, letters, and forms.
  • Assist in the preparation of reports, presentations, and data.
  • Organizing and maintaining files and records.
  • Maintain electronic and hard copy filing systems.
  • Perform data entry and update records as needed in Ceridian.
  • Handle sensitive and confidential information with discretion.
  • Provide general administrative support.
  • Other duties as assigned.

Minimum Job Requirements

  • Proven experience as an administrative assistant or relevant administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to multitask and prioritize tasks effectively.
  • High school diploma: additional qualifications in Office Administration are a plus.

Preferred Qualifications

  • Experience in hospitality or hotel-like environment.
  • Familiarity with [specific software or tools relevant to your industry].
  • High School Diploma or experience in related field.
