Exciting Opportunity for a Sales Support Specialist / Office Administrator
Look Beauty Inc. is a Toronto-based, Canadian success story that is a leader in beauty innovation. We are the global provider of skincare products based on K-Beauty from Korea. Our facial masks are well-recognized brands that are available around the world in over 50 countries including 25,000 stores in the USA.
We have an opportunity for an experienced, hands-on, Sales Support Specialist / Office Administrator who enjoys rolling up their sleeves in a fast paced environment. All our staff are currently operating remotely, however, this position will be required to go into our office for sales support and admin duties.
Reporting to the CEO and Sales Manager (UK, Europe, Middle East & Asia), this key role will be responsible for:
**Sales Support**:
- Assist in preparing reports, customer set up information, new item set up forms, sales presentation decks, and any other materials needed for the sales manager.
- Work with demand planning team to ensure sales forecasts are met, delivered in a timely manner and accurate.
- Organize customer sample shipment, tracking, and pitch materials/mock up samples within requested timeline
- Responsible for the packing and shipping of all samples/mock ups for sales presentations for retailers and broker rep partners as well as for trade shows, when needed and ensure on time delivery
- Prepare shipment documents, custom related forms, and communicate with the warehouse to ensure shipment is delivered to the destination.
- Order entries, accepting customer PO’s, and liaise with the warehouse to ensure fulfillment.
- Maintain relationship with retail and global distribution partners and communicate on an as need basis.
**Admin Support**:
- Provide administrative support to CEO and other leaders as required
- Maintain contact lists
- Receive mail and summarize cheques and deliver cheques to Finance Team
- Bring cheques that come via mail to bank
- Receive samples from couriers that have come in and put samples away in boardroom for sales sample purposes
- Receive new product development sample shipments from factories that have come in from courier and organize and send details to sales/npd team
- Order, as required, all masque bar products from the warehouse to ensure adequate supply of samples are available
- Order office supplies as required
- Stock and maintain cleanliness of all storage units (2 onsite and 1 offsite) with products, shipping materials, discontinued products and displays
- Stock shelves and maintain product quantities in showroom
- Provide administrative support to team members as requested including but not limited to managing and organizing databases and spreadsheets
- Perform other responsibilities as assigned and required for the role.
- Act as the key coordinator of office maintenance as appropriate
- Communicate with all courier services
**Qualifications and Experience**
- 2 or more years of related work experience
- Strong data entry skills
- Strong organizational skills
- High attention to detail
- Strong (written and verbal) communication and interpersonal skills
- Ability to work independently as well as in a team-oriented environment
- Thrive in a collaborative, dynamic and fast-paced environment
- Experience with Apple/mac products would be beneficial
