**Administrative Assistant - Finance**

Reporting to the Vice President, Finance, this full time position performs confidential administrative duties for the senior Finance management team which includes the Chief Financial Officer (CFO), Vice President Finance and Corporate Controller (CC).

**Key responsibilities include**:

- Coordination of new store openings from a Finance perspective, including but not limited to the following:

- Ensuring armored car services request for quotes sent out,
- MasterCard/Visa/ American Express accounts set up,
- Bank accounts opened.
- Video licenses requested,
- Pharmacare numbers set up,
- Arranging of store float funds
- Liaison between stores and armored car services.
- Setting up and sending import letters of credit.
- Setting up and requesting wiring of funds to suppliers in the orient, etc.,
- Issuing of up to date store listings for payroll pick-up authorization.
- Couriering and photocopying required documents for the CFO, VP and CC, opening mail, filing of documents, shredding, etc.
- Ensure the Corporate Tax cheques are prepared and paid by the end of each month.
- Preparing cheques for quarterly B.C. Corporate Capital Tax.
- Draft letters/memo's as requested by the CFO, VP and CC.
- Preparing year-end accounting and insurance books for the CFO and CC.
- Organize the meeting and travel schedule for CFO and CC.
- Miscellaneous projects and/or tasks as directed by the CFO or CC.
- Coordinates meetings and material for the Executive Committee and Board of Directors.
- Makes appointments, coordinates meetings, booking boardrooms, ordering food in preparation for meetings.
- Coordinates travel requests for Chief Financial Office, VP, Finance and the Corporate Controller, prepares and processes related paperwork and support files as requested.
- This position will require the performance of other functions depending upon projects and priorities within the department and as required.
- Strong administrative skills.
- Excellent communication skills, both written and verbal.
- Demonstrate good interpersonal skills when dealing with staff and management.
- Highly organized and able to multitask effectively and work under changing priorities.
- Ability to work in absolute confidence.

**EDUCATION AND KNOWLEDGE**
- Must have at least three years of experience in providing administrative support to senior management of a large company.
- Ability to produce documents written in the English language using proper sentence structure, punctuation, grammar and spelling.
- Knowledge of accounting principles and practices would be an asset.
- Excellent knowledge of Microsoft Outlook, Word, Excel, PowerPoint as well as managing files and documents in the Windows environment
