The Opportunity

As the Accounting and Office Coordinator, you will be the first point of contact for our head office and will be responsible for in-person and over-the-phone inquiries. You will provide general office management, maintenance, and administrative support for multiple departments; however, your main focus will be assisting the Finance department.

**Responsibilities**:

- Provide support and assist with problem-solving for any issues that arise related to invoicing, accounts payable, credit card management and internal reimbursement
- Ensure all vendor invoices assigned to you are approved, entered timely and paid timely in accordance with our payment schedule
- Ensure the aged accounts payable for your scope of accountability is reconciled and reflective of actual payables due by each due date
- Ensure the Vendor Cards for the vendors under your scope of accountability are accurate, complete, and kept up to date
- Support the finance team with record filing, data entry, scanning and sending paperwork, inputting invoices, statement reconciliation, processing refunds, and completing cheque runs
- Support the Finance team with determining and implementing workflow process improvements and other duties and special projects as assigned
- Answer incoming calls on the main phone line and direct calls as required
- Act as an office liaison for those entering the building
- Manage and maintain office supply inventory and process recurring and ad-hoc office purchases
- Maintain the appearance and cleanliness of office common spaces, including but not limited to, the reception area and lunchroom
- Prepare outgoing deliveries and distribute incoming mail and packages
- Provide general administrative support to various departments as assigned

**Qualifications**:

- Prior experience working in administration or an office-setting is an asset
- Prior accounts payable and/or bookkeeping experience is an asset
- Strong attention-to-detail and organization skills
- Ability to prioritize and manage competing priorities
- Strong interpersonal and verbal communication skills
- Strong computer skills including the MS office suite

Additional Information

This position reports to the Controller
- This is a full-time position scheduled from Monday to Friday
- This position is located at our head office in Guelph, Ontario, and requires on-site presence
