**Position Title**
- Associate Program Coordinator - 3 positions**Position Summary**
- As an Associate Program Coordinator and member of the Continuing Education and Corporate Training team, you’ll play a pivotal role in planning, coordinating, and delivering non-credit programs. Your responsibilities encompass overseeing program logistics, ensuring seamless delivery, and fostering exceptional experiences for both learners and instructors within your designated portfolio. With a focus on program excellence and participant satisfaction, you’ll contribute to the success and growth of our educational initiatives.**Position Responsibilities**
- The Associate Program Coordinator is responsible for:
- Provides Program Coordinator insights during course costing development; validates and confirms all course content dates and data (escalates concerns to Program Coordinator) before submission to Associate Dean
- Monitors enrollment numbers for all assigned programs; brings in marketing to address enrollment concerns. Regularly monitors student enrolment, program progress, and student/program satisfaction and identifies opportunities to improve service
- Supports Program Coordinator in non-credit curriculum review and development; identify ineffective curriculum content prior to blackboard loads; correct first level content (links, typos, branding, etc.), and escalates complex cases to Program Coordinator
- In collaboration with the Marketing and Promotions Strategist, coordinates department presence and promotional items at relevant promotional events; attend as required
- Coordinates the overall program delivery process; proactively solving problems and putting solutions in place to have top quality program experience for learners
- Collaborates with Program Assistant on strategies to improve on evaluation response rate, quality of feedback, and learner experience
- Reviews fiscal quarter actuals with Program Coordinator; provides recommendations for improvement
- Collaborates, and provides coverage where appropriate, with Program Coordinator and Program Assistant to ensure successful planning and delivery of programs; escalates issues outside of scope to Associate Dean
- Is the initial point of contact for non-credit instructors seeking support. Develop relationships with Instructors to support quality learner experiences; guides instructors on processes, supports, use of classroom tools, attendance, etc
- In collaboration with the Program Coordinator, coordinates onboarding/offboarding paperwork and training for all Instructors in portfolio. Addresses instructor questions during onboarding. Collaborates with CECT staff to provides Blackboard orientation and technical support to instructors and students prior to class start; maintains orientation videos for Blackboard
- Proactively identifies and resolves issues to ensure a positive student experience and the highest student retention
- Supports the review of analytics to improve student retention
- Advocate improvements to heighten the student experience
**Required Qualifications**
- Two (2) years of post-secondary training
- Two years experience in coordinating programs, including planning, scheduling, and logistics management
- Experience with Program/Curriculum development/delivery
- Strong customer service skills to interact effectively with students, instructors, and program participants
- Ability to be successful in an entrepreneurial environment
- Ability to manage multiple tasks, prioritize workload, and meet deadlines in a fast-paced environment
- Effective problem-solving and analysis skills to address issues that may arise during program delivery and find practical solutions
- Excellent written and verbal communication skills to convey information clearly and professionally. Including interpersonal and conflict resolution skills
- Demonstrates sound judgment, reflective decision making and political acumen
- Ability to manage competing priorities in a fast-paced environment
- Strong attention to detail to ensure accuracy in program materials, communications, and scheduling
- Ability to work collaboratively with colleagues, instructors, and external partners to achieve program objectives
- Ability to travel to key markets and work flexible hours as needed
- Experience or knowledge in event planning and coordination, including managing venues, catering, and event logistics, an asset
- Basic understanding of data management and reporting to track program metrics and analyze performance
- Ability to adapt to changing priorities, requirements, and circumstances in a dynamic work environment
- Strong interpersonal skills to build positive relationships with stakeholders and create a supportive program environment
