**Position Summary**:
The School of English and Liberal Studies (SELS) curriculum is a key component of studies for students across all Seneca programs. It develops communication, critical thinking, information management, interpersonal and personal skills.

As the Office Assistant, you will maintain a high standard of professionalism while acting as the first point of contact for SELS, including support for Administrators, Coordinators as well as full-time and contract faculty.

**Responsibilities**:
***Front-line reception**
- Respond to service inquiries to faculty, staff, students, potential students, and external guests.
- First-level support for students during start-up and will triage during registration start-ups.
- Provides oversight of School of English and Liberal Studies (SELS) front offices for the purpose of finding maximum efficiencies in procedures and daily tasks.

***Administrative Duties**
- Consult with College services/departments (Registration, Bookstore, OneCard, ITS, Aramark, Shipping and Receiving, Security, etc.) to ensure the smooth running of the department.
- Provide additional support to the Academic Program Manager including maintaining calendar, booking appointments, and arranging meetings.
- Organizes and maintains a large case filing system (e.g., using SharePoint).
- Includes creation of new files ensuring the appropriate forms are part of the files.
- Responsible for mail delivery and distribution.
- Files and maintains school records.

***Other duties/special projects as assigned, including but not limited to**:

- Onboarding new contract faculty, on-campus events, semester start-up orientations, and other SELS events as they are planned and developed.

**Qualifications**:
***Education**
- Minimum two (2) years diploma in Office Administration, Business, Business Administration, or a related field.
**
**Experience**
- Minimum two (2) years of experience within an educational, administrative, and/or community setting, working in a fast-paced, high-volume, customer service environment.

***Skills**
- Advanced skills in SharePoint, MS Office, Excel and related computer programs.
- Strong organizational skills.
- Able to multitask, prioritize, and manage multiple tasks and competing deadlines with mínimal supervision.
- Exceptional customer service and communication skills to interact effectively with multi-cultural/racial/able students and staff.

***Note**: A skills assessment test will be administered during the recruitment process.

A combination of relevant experience and education may be considered as equivalent to the above requirements in the event that there are no internal applicants that meet the qualifications as posted. Equivalency will be assessed by the talent acquisition team.
