What you'll do:

- Manage all attendee requirements, including the development of the registration website, the management of all attendee lists and the communication with attendees on an individual basis.
- Lead quality control of participant information and registrations.
- Support all aspects of event planning while following tight deadlines and working within the scope of the budget.
- Attend, participate and manage on-site client meetings and communications as required.
- Assist the Event Managers with the development and delivery of events, including communications with suppliers, vendors, venues, and stakeholders.
- Source suppliers and vendors and negotiate for best value as required.
- Gather and disseminate information to relevant stakeholders i.e., contact reports, timelines, commitments, etc.
- Assist with site-inspection logistics and confirm on-site event staffing requirements, including coordination and finalization of on-site workroom requirements.
- Provide on-site assistance with event execution as required.
- Assist with the post-event reconciliation including verification of final supplier billings.
- Completion of additional tasks and responsibilities to ensure a successful delivery of events according to scope and/or at Event Managers request.

What you will have:

- 1-3 years’ experience working at an Agency, event management or conference facility management is preferred.
- A post-secondary degree/diploma or equivalent business experience is considered an asset.
- Willingness and flexibility to work outside of regular operating hours including extended hours, holidays, and weekends and travel as required.
- Experience working multiple industries and sectors is ideal (i.e. Financial Services, Healthcare, Hospitality etc.).
- Proven ability to meet tight deadlines while handling multiple projects simultaneously and thriving in a fast-paced environment with changing priorities.
- On-site event operations experience and knowledge of event venues across Canada is preferred.
- Strong proficiency with Microsoft Excel and experience with Microsoft Office Suite -including Word, PowerPoint, and Outlook.
- Excellent interpersonal, planning, organization, presentation, and professional communication skills (written and verbal) are a must.
- Ability to work cross-functionally and collaboratively to plan, execute and deliver all on-site events working with suppliers, vendors, clients etc.
- Demonstrated skills and knowledge of preparation of monthly spreadsheets and reconciliation of supplier and outside client contracts.
