The Role:
Rakuten Kobo Inc. is looking for an Office Assistant to join our Facilities team for on a 6-month contract with the possibility to extend. The team is comprised of many highly talented enthusiastic individuals who ensure the services and offerings from Kobo are available to both internal and external customers.

Kobo is looking for an energetic, motivated, detail oriented, customer focused Office Assistant. Our employees rank us highly in terms of commitment to work/life balance. The Office Assistant is responsible for providing effective and efficient administrative and logístical support in a dynamic, central role within Kobo.

This is an onsite position.

**Responsibilities**:

- Provide overall administrative support.
- Front desk coverage.
- Assist and coordinate team bookings/events in meeting rooms based on their needs.
- Assist employees with booking space in the office and ensure the proper steps are followed.
- Assist with catering orders for internal and external meetings and events.
- Handle all shipping and receiving requests for all departments.
- Sort and distribute mail to each department via scanning.
- Assemble swag bags and ship to new hires.
- Help maintain strong relationships with vendors, service providers and contractors.
- Coordinate our employee food service program.
- Provide scanning & printing support for teams if needed.
- Help setup for all onsite events.
- Other duties assigned when necessary.

The Skillset:
**Requirements**:

- 1-3 years of experience as an Office Assistant, Office Administrator or relevant role.
- Excellent time management skills and ability to multi-task and prioritize work.
- Strong problem-solving skills.
- Excellent written and verbal communication skills.
- Energetic and high attention to detail.
- An aptitude for learning and ability to adapt quickly.
- Strong organizational and planning skills.
- Proficient in MS Office.
- Knowledge of clerical practices and procedures.
- Adaptable to an ever-changing work environment.
