**Administrative Assistant Position**
This is an in-office administration support role. Reporting to the Office Manager, the Administrative Assistant will provide administrative support to a growing and successful company. The primary duties are to complete administrative office tasks such as inventory and procurement control, invoice review and mailing, shipping
eceiving. Other general office duties will be required as needed, such as answering and transferring calls, and handling incoming mail.
The Administrative Assistant will be responsible to ensure invoices are sent out on time, inventory is accounted for, tracked and billed, office supplies are maintained, and provide support as needed to the Office Manager. This position will require strong organizational skills, record-keeping skills, and excellent communication skills. This position is critical to the operational support of our Support Team to ensure Longhurst maintains its fantastic reputation of service delivery.
**Administrative Assistant Job Duties**:
**Bookkeeping**
- Review, enter and update invoicing
- Mail invoices
- Receive and account for payments
- assist with time sheets, mileage, expense reports for all techs
- data entry, filing
**Inventory and Procurement**
- Enter and update inventory as received
- Ensure outgoing inventory is attached to the correct client
- Complete regular inventory audits
- Assist with quoting, confirming parts availability, and other procurement duties as needed
**Office Administration**
- Ensure office supplies are maintained, submit requests to Office Manager for orders
- Keep main office areas tidy
**Administrative Skills Required**:
**Organization**
- The ability to create simple methods to handle complex tasks and create order in the workplace.
- File documents accurately, filter incoming / outgoing communication, establish processes for daily responsibilities.
- Track the activities, schedules, and projects for each of the professionals they support.
**Time Management**
- Schedule daily tasks and prioritize certain responsibilities based on importance, length of completion and deadline.
- Plan your days, weeks, months, and quarters to complete tasks in order and on time.
**Written communication**
- Receive and respond to written messages with appropriate responses.
- Coordinate events, meetings, make requests, and effectively transfer any tasks.
- Observe professional business writing and etiquette with all messages, reports and other important documentation.
- Demonstrate excellent grammar and proofreading abilities.
**Adaptability**
- Longhurst is a growing company and will need all staff to be adaptable and able to take on new and important challenges as they arise.
**Administrative Assistant Education**:
This position requires, at minimum, a high school diploma or General Education Development (GED) certificate. Other valued skills or education are:

- Microsoft Office Specialist (MOS) Word, Excel, SharePoint, Teams
