**Description**

**Research Legal** within **University Legal Services** is currently seeking a Full-time Regular Legal Assistant.

The Legal Assistant reports to the Associate General Counsel (Research) and plays a key role in providing comprehensive support to the Research Legal team. Work demands in the Research Legal office consist of high volumes of work, rapidly changing priorities and dealing with competing pressures and deadlines. The role requires the ability to work under pressure in this fast-paced environment. Considerable discretion is also necessary as the position is privy to and works with sensitive, highly confidential information. This role is a strong ambassador for the Research Legal office and thus must demonstrate a high level of professionalism when liaising with internal and external members of the University community. Establishing and maintaining the level of professional relationships that support exceptional collaboration and problem solving is essential for success in this position.

The Legal Assistant must be detail orientated as impact of error is moderate to high. Exceptional organizational skills are critical. The ability to communicate knowledgeably, professionally, and tactfully with internal stakeholders at all levels of the institution, as well as external stakeholders is critical. The ability and aptitude to work as a team member is critical to success, as is the ability to remain flexible and highly professional.

**Summary of Key Responsibilities** (job functions include but are not limited to):

- Supports the Research Legal team through the coordination, administration and prioritization of research agreements and other related projects
- Assists with processing incoming files by reviewing and analyzing information and organizing, managing and advising on the appropriate actions
- Managing deadlines in a proactive manner, and developing a high-degree of University knowledge of processes, procedures and systems to advise internal stakeholders
- Provides legal administrative support to the Research Legal team (i.e. document preparation, form completion, signature collection, electronic file admin, etc.)
- Provides administrative support for the following areas: expense reporting, meeting minutes, calendar and meeting bookings
- Communicates with client groups, including Principal Investigators and other University department representatives, to communicate expectations, process requirements, and collect and process information in an efficient and effective manner
- Supports the organization and maintenance of the Research Legal document management systems, legal files, databases and other electronic resources
- Develops and improves procedures and processes to improve effectiveness and efficiency throughout the team

**Qualifications / Requirements**:

- A bachelor or higher degree in a related area is required
- Minimum 3 years legal administrative experience required; previous experience at the University of Calgary is an asset
- Experience in project work and maintaining legal files
- Well-developed knowledge and expertise in administration, or contracts, is an asset
- Must be comfortable working and communicating with all levels of staff, including senior leaders
- Strong interpersonal skills and communicates effectively in a professional and respectful manner with colleagues from various disciplines and external collaborators
- Strong organizational skills that facilitate multi-tasking, including a meticulous attention to detail
- Excellent analytical reasoning and organizational skills demonstrated ability to work independently with mínimal supervision and manage own time, ability to set priorities and meet commitments and timelines.
- Must be able to work with shifting priorities.
- Must be able to act decisively and exercise a high degree of initiative, flexibility, and sound judgment.
- The ability to anticipate and adapt quickly to changing priorities in an effective manner
- Excellent communication (oral, written) and interpersonal skills
- Ability to create, launch and maintain websites in Drupal and other media technologies
- Knowledge of web-based programs and website maintenance an asset
- Demonstrate leadership and client services skills, fully understanding the impact of their decisions
