**Position Profile - Administrative Assistant (Summer Student Job Opportunity, and additional part-time opportunity as of March 2024)**
**Role Description**
Reporting to the Director, Finance, HR and Administration, the incumbent provides administrative support to senior Association staff and Association Committees, as well as general administrative and office management support in the Association’s National office.
**Specific Responsibilities**
- Senior Staff Administrative Support_
- Provides administrative support to the Eastern and Ontario Division VPs, including but not limited to accepting, screening and addressing incoming telephone calls, arranging/coordinating meetings and travel requirements, assisting in the preparation of correspondence, reports, and presentation materials, and managing calendars.
- Provides administrative support to Directors, including but not limited to arranging/coordinating travel requirements, assisting in the preparation of correspondence, reports, and presentation materials.
- National Office Administrative Support_
- Provides front desk and telephone reception and mail/courier services for the National Office.
- Coordinates maintenance of the National Office accommodation, security and telephone systems and office equipment;
- Coordinates the supply and acquisition of general office supplies.
- Assists in the preparation/distribution of National office correspondence, reports, briefing and presentation materials.
- Provides logístical support to meetings held in the Boardroom ( 2nd Floor), to include preparation of meeting room, catering, refreshments, audio-visual setup, etc.
- Qualifications and Core Competencies:_
- To apply, you must:
- Be a Canadian citizen or a permanent resident.
- Currently pursuing a degree/diploma in Business Administration or a similar field
- Be available for full-time employment, including weekend availability, from the beginning of May 2024 through Labour Day Weekend 2024, plus the additional option of working 2 days a week part-time, flexible, as of March 11, 2024 till May 1, 2024.
- A high level of proficiency in MS Office (Outlook, Word, Excel, PowerPoint);
- Strong organization, time-management and problem solving skills.
- Ability to multi-task and work to tight deadlines.
- High degree of accuracy and attention to detail.
- Confident team player with strong interpersonal skills.
- Good initiative and judgment.
**Job Types**: Part-time, Fixed term contract
Contract length: 4 months
**Salary**: $20.00 per year
Expected hours: 37.5 per week
