Toronto, Canada Greenwood College School Full time

The incumbent in this position is the first point of contact for all visitors and phone inquiries to the school. The Administrative Assistant also ensures accurate attendance is taken daily and supports Reception in all areas.

**Reports to**: Executive Assistant to Principal | Manager, Main Office

**Term**: Full-Time, Contract (17 months duration with summer cessation)

**Hours of Work**: 10.00 am to 6.00 pm (work hours may vary at times)

**Primary Responsibilities**
- Works as part of an administration team fulfilling Reception duties
- Maintains ongoing presence at Reception
- Greets visitors, staff, students and members of the community in a positive and helpful manner
- Receives and directs incoming calls to the appropriate people
- Maintains visitor logs for staff, students and guests through the sign-in and sign-out process
- Provides administrative support as required to the Main Office
- Monitors and updates attendance records by checking messages, reviewing daily attendance reports, following up with teachers and parents for unknown absences and coding planned absences such as athletics, field trips and school excursions
- Manages incoming and outgoing mail, deliveries and couriers and maintains staff mailboxes
- Maintains an orderly and tidy reception and foyer area
- Assists with the coordination of evacuation drills
- Orders taxis as required; verifies invoices for taxis and submits for processing
- Updates student records for the Academic and Service Learning departments
- Monitors and maintains inventory of office supplies and places orders when necessary
- Distributes and tracks temporary day café passes to students as required
- Organizes lost and found items
- Performs other duties and special projects as assigned

**Knowledge and Skills**
- Proficient in the use of Google Applications, Word and Excel
- Ability to follow direction, be flexible and work collaboratively as a member of a team
- Manage a variety of tasks concurrently and perform well under pressure
- Ability to operate photocopy equipment and postage meter
- Ability to maintain confidentiality and work within protocols and procedures

**Requirements**:

- Related postsecondary training or minimum three years experience in office administration
- Excellent knowledge of customer service principles and practices
- Ability to work in a face-paced and busy environment
- Excellent verbal and interpersonal communication skills to best interact with students, staff, parents and other members of the community
- Strong organizational skills and attention to detail
- Ability to manage multiple projects and deadlines and adjust priorities accordingly
- Proven ability to work in a team environment, as well as independently
- Able to work some overtime and have flexibility with hours when required
