Toronto, Canada St. Clement's School Full time

The Receptionist and Administrative Assistant (the “Receptionist”) is the primary point of contact for the School and performs administrative tasks to support smooth daily operations of the School Office. Reporting to the Associate Director of Administrative Operations, the Receptionist assists students, staff, parents, and visitors to the School, supports the organization and management of school events, and oversees daily student attendance.

This position is a full-time, permanent position, in-school, with core working hours of 8:00 a.m. - 4:00 p.m.

**KEY RESPONSIBILITIES**
- Provide a welcoming environment for students, parents, staff, and visitors to the school in-person, on the phone, and through online correspondence representing the School in a professional manner;
- Fulfill primary reception duties including answering the main school telephone line and directing calls, administering school auto-attendant, and making announcements on the PA system;
- Oversee daily attendance and absence recording and tracking (morning and afternoon); contact families and follow up regarding absences;
- Continuously communicate with the School Office team to ensure everyone remains current on school activities (i.e. sports, performances, curriculum nights, parent conferences, etc.) to be able to answer questions;
- Administer minor first aid to students, contact parents of students who are required to leave the school due to illness or other factors, and monitor students until they depart;
- Responsible for the planning and execution of assigned School-wide events, significant occasions, and project-based initiatives;
- Monitor the school security system, and provide visitors with entry to the building with assistance of security guard;
- Produce and maintain student reports, e.g. student medical lists, as required;
- Provide administrative assistance to the Associate Director of Administrative Operations;
- Maintain office supplies, stationery, and first aid supplies;
- Maintain the lost and found;
- Process uniform rentals;
- Coordinate and manage incoming and outgoing mail and couriers; and
- Other duties as assigned.

**QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES**
- A high school graduation diploma with post-secondary administration certification;
- Minimum 3 years’ relevant work experience;
- Outstanding communication, relationship management, and interpersonal skills;
- Professional and positive;
- Ability to manage competing priorities and multiple tasks in a demanding and dynamic environment;
- Highly proficient technology skills, including experience with Microsoft Office, Google Suite, and student database software an asset;
- Accuracy and attention to detail in an environment with frequent interruptions;
- Interest and enthusiasm in working with young adults and children;
- Outstanding work ethic, initiative, and ability to meet deadlines;
- Exceptional creativity, enthusiasm, and the ability to bring new ideas and energy to the School Office; and
- Strong understanding of tact, diplomacy, empathy, and confidentiality.
