**Administrative Assistant / Receptionist**
MAC Group of Companies is hiring a full-time Administrative Assistant to join our rapidly growing and supportive team
Founded over 60 years ago, the London-based MAC Group of Companies is comprised of 5 major operating companies:
**Responsibilities**:
Receptionist Duties:
- Greet and welcome visitors in a professional and friendly manner.
- Maintain an organized and welcoming reception area.
- Ensure all visitors sign in and adhere to security procedures.
- Coordinate office maintenance/repairs.
- Order and oversee food deliveries for group meetings.
Office Supplies Management:
- Monitor office supply levels and initiate orders as necessary.
- Keep track of office inventory and update supply lists.
- Evaluate vendors and negotiate pricing to ensure cost-effectiveness.
- Maintain organized and well-stocked storage supply areas.
- Ensure optimal use of office equipment, supplies, and inventories through preventative maintenance.
Collaboration with HR:
- Assist the Human Resources department in planning and organizing staff events.
- Coordinate event logistics, such as booking venues, catering, and transportation.
- Assist in creating and distributing event communications and invitations.
- Maintain event attendance records and gather feedback for improvement.
Administrative Support:
- Provide general administrative support to various departments as needed.
- Daily scanning, digital filing, and shredding of packing slips, as well as monthly scanning, digital filing, and physical filing of invoices.
- Handle incoming and outgoing mail.
- Perform other administrative tasks as assigned by management.
- Timecard organization, including ordering new timecards when needed and sending scanned and labeled receipts to payroll.
**Qualifications**:
- Previous experience in an administrative office role is an asset.
- High school diploma or equivalent is required.
- Intermediate Outlook, Word and Excel skills are required.
**Knowledge and Skills**:
- Typing speed of minimum 35 Words Per Minute.
- Comfortable lifting up to 20 lbs. on a semi-frequent basis.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with VISTA or other software used in the organization is an asset.
- Outstanding communication and interpersonal skills.
- Reliability and punctuality paired with a positive demeanour.
- Attention to detail.
- Consistently upholding professionalism in appearance and attitude.
- Adept at handling sensitive information discreetly and maintaining confidentiality.
- Quick adaptability to changing circumstances and problem-solving.
- Ability to collaborate with colleagues and team members.
