**Primary Purpose of the Job**:

- This position will start remote for 1-3 months, then transition to onsite in our Lethbridge Office_

- **Duties and Responsibilities**:_

**Office Management**:

- Oversee daily office operations, ensuring smooth functionality and maintaining a welcoming environment for staff, students, and visitors.
- Manage office supplies, equipment, and facility needs.
- Maintain records, handle correspondence, and coordinate schedules.
- Ensure compliance with organizational policies and procedures.

**Marketing & Promotion**:

- Implement and distribute local marketing strategies to promote Train Alberta’s Services and Programs in the community

- Engage with potential students through outreach activities, networking, and community events.
- Work with the marketing team to create and distribute promotional materials such as flyers, social media content, and newsletters.
- Build relationships with local businesses, educational institutions, and other stakeholders to increase visibility and enrollment.

**Student Support & Application Management**:

- Provide information on program offerings, admissions requirements, and financial aid options.
- Coordinate and schedule student interviews, program orientations, and other relevant meetings.
- Providing schedules and sending the templates for each program
- Respond to student inquiries in a time sensitive manner and offer support as they transition through the student aid process
- Ability to support collections and provide assistance with Student Aid and ASEC documents

**Customer Service & Stakeholder Engagement**:

- Serve as the first point of contact for students, parents, and external partners in the Lethbridge area
- Maintain positive relationships with students by offering a high level of customer service and responsiveness to their needs.
- Handle concerns or issues promptly and escalate when necessary to ensure a smooth student experience.

**Data & Reporting**:

- Accurate data entry once intake is done and all enrolment forms are returned to ensure data is correct in ZOHO & Moodle
- Perusing, editing and correcting all documents received for enrolment registrations

**Ad Hoc**:

- Manage/oversight Pearson Vue Test Centre
- Manage/oversight Student and Client Resource Area (classroom)

**Qualifications**:

- Proven experience in office management, administration, or a related field
- Strong marketing and outreach skills, preferably in an educational setting
- Excellent organizational, multitasking, and communication skills
- Ability to work independently and manage multiple priorities effectively
- Familiarity with the student admissions process is an asset
- Flexible and adaptable
- Technically proficient in: MS 365, Adobe, Gmail, Zoom, Google Hangouts, Zoho CRM or Current CRM Applications
- Database Entry, report generation and documentation
- Experience with business processes
- Accurate typing of 50 wpm

**Working Conditions**:

- Monday to Friday - 1.0 FTE (35 hours/week)
- One-hour unpaid lunch break
- Two fifteen-minute paid breaks (1 during the morning and 1 during the afternoon)
- Some travel in the province required throughout the year

Pay: $45,000.00-$55,000.00 per year
