Thunder Bay, Canada Thunder Bay International Airports Authority Full time

The Thunder Bay International Airport Authority is seeking an organized professional for a temporary replacement of the **Executive Assistant.**

Responsibilities include (but are not limited to):

- Reviews and tracks visa expenditures, travel expenses and confidential invoices against purchases to reconcile against budget allocations, and identifies and resolves discrepancies
- Processes payment of visa bill, travel reimbursements and confidential invoices
- Receives and prioritizes mail
- Process daily cash receipts from parking lot system as well as other revenue sources
- Arranges meeting rooms, meals and event logistics for company meetings and events

Customer Service:

- Greeting clients in a professional manner
- Creating a positive first impression for visitors
- Ensuring confidential documents are securely store
- Answering & transferring telephone calls to the appropriate person
- Provides the following administrative services
- Organize and maintain files and documents and be responsible for adhering to document management, privacy and record retention guidelines
- Provide back-up support for other administrative staff at both work locations
- Maintain office supplies inventory by checking stock to determine inventory levels and anticipating needed supplies
- Ensure office equipment is operational
- Prepares reports & correspondence
- Arranges courier services
- Performs other duties as required

- Clear communicator with strong writing and editing skills
- High level of accuracy and attention to detail
- Tact, diplomacy and sound judgement
- High standard of confidentiality due to access to sensitive information
- **This position is a Part-Time temporary backfill, with hours ranging from 20-30 per week based on demand.**_

**Job Types**: Part-time, Fixed term contract
Contract length: 10 weeks
Part-time hours: 20 per week

**Salary**: $27.00-$32.00 per hour

Schedule:

- Day shift
- Monday to Friday

**Experience**:

- Office Administration: 1 year (preferred)

Work Location: In person

Expected start date: 2023-05-08
