**Administrative Assistant 2, PROMIS Operations**

The Administrative Assistant 2 provides confidential administrative and secretarial support to the designated senior leader for the BC Provincial Renal Agency.
**What you’ll do**
- Provide administrative support that respects confidentiality and ensure that administrative matters are organized and dealt with in a professional manner.
- Facilitate effective triaging of correspondence, determination of appropriate action, and timely follow up as appropriate.
- Coordinate meetings ensuring well-defined and timely agendas, identification of and notification to interested parties, compilation of background information and supporting materials, and preparation of packages/summary documents to assist in decision making and meeting facilitation.
- Maintain a consistently updated and accurate appointment schedule for the senior leader, and others as required, including determination of urgency and nature of requests, resolution of time conflicts, and notification to all relevant parties.
- Produce well-designed and accurate reports, correspondence, presentation materials, spreadsheets, and memos. Maintain and update various computer databases and web pages.
- Represent interests of applicable senior leader/department in administrative matters utilizing strong communication and persuasion abilities and an understanding of stakeholder needs.
- Ensure appropriate dissemination of information about organizational and/or program/service procedures and processes and the status of issues to internal and external stakeholders.
- Assist in budget development ensuring information is current and accurately compiled, monitor expenditures, ensure invoices are authorized to predetermined amounts, and analyze and report variances for multiple departments/programs.
- Maintain/process timekeeping records, vacation entitlements, etc. and respond to related queries.
- Compile and collate analytical information/data to assist in trending, comparing and benchmarking activities. Perform data entry of clinical and non-clinical information as required.
- Provide consistently functioning administrative tools, systems and services in a systematic and organized manner, and maintain readily available stationery and supplies.
- Provide direction and guidance to clerical support staff as needed to ensure administrative needs of the area are met.
**What you bring**
- Demonstrated ability to work both independently and collaboratively, resolve administrative issues/problems, prioritize workload, and to be flexible to meet and adapt to changes in organizational priorities.
- Demonstrated organizational skills and ability to prioritize workload and work under time pressures to meet deadlines.
- Demonstrated ability to communicate effectively both verbally and in writing, including the ability to respond professionally, courteously, and in a clear manner.
- Demonstrated interpersonal and time management skills.
- Demonstrated ability to record and transcribe minutes of meetings.
- Ability to type 60 w.p.m.
